The Administrative Specialist will support the administrative functions of the shop, particularly in areas related to fleet management, and DMV coordination. This role includes handling critical documentation, scheduling services, and assisting with compliance for DOT, FMCSA, and company policies. Responsibilities include: DMV Coordination: Handle fleet titling, registration, and plate management. Manage and submit DMV paperwork and make necessary trips to the DMV for vehicle-related matters. Ensure 5% overloads are considered during equipment purchases and when renewing registrations. IRS and DOT Compliance: Submit annual HVUT 2290 IRS forms for heavy weight vehicles for SPC and STC. Receive, organize, and file DOT logs. Update and maintain the electronic DOT vehicle list. Request and enter driving records into designated forms. Scheduling and Inspections: Coordinate and schedule training sessions for shop employees. Collect and file pre-trip inspection logs. Schedule and coordinate annual crane inspections. Arrange inspections and preventative maintenance (PM) for air compressors, garage doors, and shop gates. Documentation and Filing: Collect and file FMCSA compliance documentation. Manage driver files, ensuring all documentation is properly organized. Insurance Claims and Recordkeeping: Manage fleet insurance claims by scanning documents and maintaining accurate records.
