Job Description

We are looking for an experienced legal assistant who can help the busy attorneys and paralegals at our law office assist our clients. You'll be responsible for managing office correspondence, including answering phone calls and emails, arranging meetings and travel, and ensuring our legal team is aware of upcoming deadlines. You'll also assist with preparing legal documents and contracts, and perform any other tasks as needed to ensure our firm is operating efficiently. Responsibilities: • Accept other administrative tasks as needed to assist the team and ensure the firm runs smoothly • Manage office correspondence and administrative tasks such as answering phone calls, communicating with opposing attorney offices, taking dictation, responding to emails, and reminding the team of upcoming deadlines • Complete legal research as needed under the supervision of attorneys and paralegals • Use daily time records to properly process client billing with support from the accounting department • Arrange travel, schedule meetings and appointments for the team, such as depositions, and coordinate with outside vendors for events • Assist attorneys with estate planning, probate, and real estate matters • Draft, proofread, and format legal documents with impeccable attention to detail • Manage case files, ensuring deadlines are met and documents are properly organized • Communicate with clients to provide updates, gather information, and offer compassionate support • Utilize legal practice management software (Smokeball) to track cases and organize workflows • Create and troubleshoot Microsoft Word and Excel macros for efficient document handling • Handle incoming client inquiries and provide outstanding customer service • Develop and implement systems to improve office efficiency and streamline processes • Assist with marketing materials, ensuring all communications are clear, polished, and error-free • Maintain confidentiality and professionalism in all interactions Qualifications: • Experience with legal software, litigation case management, and docketing programs • Some college is preferred; high school diploma or equivalent is required • Applicants must have excellent communication skills and organizational skills • Must be able to prioritize tasks with demanding deadlines and work in a fast-paced environment • Ability to comfortably use all Microsoft Office products Compensation: $20.00 - $30.00 hourly • Assist attorneys with estate planning, probate, and real estate matters • Draft, proofread, and format legal documents with impeccable attention to detail • Manage case files, ensuring deadlines are met and documents are properly organized • Communicate with clients to provide updates, gather information, and offer compassionate support • Utilize legal practice management software (Smokeball) to track cases and organize workflows • Create and troubleshoot Microsoft Word and Excel macros for efficient document handling • Handle incoming client inquiries and provide outstanding customer service • Develop and implement systems to improve office efficiency and streamline processes • Assist with marketing materials, ensuring all communications are clear, polished, and error-free • Maintain confidentiality and professionalism in all interactions
