Description We're currently hiring an Executive Assistant. The Work ICF has an immediate need for an Executive Assistant to provide support to the Division Leader and Division Leadership Team focused on transformation, security and social programs. This full-time position will be responsible for a variety of administrative support duties. The position is a hybrid role and on-site work will be conducted in Reston, VA. Responsibilities: Serve as gatekeeper and point-of-contact for the Division Leader, modeling utmost confidentiality and professionalism. Maintain and manage calendar, appointments, and calls for the Group Leader. Proactively resolve calendar conflicts and manage other operational requests. Consulting with corporate travel agents, coordinate travel arrangements for Group Leader including transportation and accommodations, based upon corporate guidelines. Prepare tentative travel plans and suitable alternatives for approval by Group Leader. Serve as general resource for Group Leader; research problems and resolve issues as necessary. Track Group Leader travel and meeting activities for expense and budget purposes. Submit expense reports. Maintain and continually develop a solid understanding of organizational operations, policies, procedures, and regulations to better anticipate needs and requests. Work flexibly with group staff to manage and expedite requests, partnering collaboratively with internal services. Build strong internal and external relationships. Become a go-to resource for corporate contacts and the division team. As requested, develop agendas and other meeting materials, attend team meetings, collect notes and action items, and send follow-ups as needed. Lead group event planning and coordination for retreats, meetings, and team building activities. This includes venue selection, catering, offsite dining, and any audiovisual equipment needs. Ensure that all events are executed smoothly and efficiently, and within budget. Basic Qualifications: 3+ years of experience supporting senior leadership or executive-level role 3+ years of experience supporting and handling details of a highly confidential and critical nature 3+ years of experience in MS Office (Word, PowerPoint, Outlook, Excel and Teams) 3+ years of experience working with geographically dispersed teams 3+ years of experience with meetings and event planning Preferred Skills/Experience: Advanced degree (Associate's or Bachelor's Strong professional communications skills - written and verbal Ability to take initiative and work independently Ability to work with and demonstrate a sense of urgency in all aspects of work Experience with MS SharePoint, Workday, Concur, Deltek Professional Skills: Demonstrate success supporting a busy Division team with a positive attitude Proven ability to manage heavy calendars through the use of Outlook, including using sound judgment to screen meeting and message requests to determine the appropriate priority level Analytical thinker who can identify and weigh different options for solving problems and then make an independent decision on how best to resolve issues Self-Starter with strong motivation to succeed Strong background and expertise in utilizing organizational skills including attention to detail and ability to prioritize and work within deadlines. Diplomatic and strategic with multi-tasking; problem solver, ability to work independently and as part of a team. Able to partner with matrixed teams and leadership across a variety of lines of business.
