Job Description

Position Summary: The Executive Assistant plays a crucial role in supporting financial advisors by managing administrative tasks, facilitating client communications, and assisting with financial planning processes. This position requires strong organizational and communication skills, attention to detail, and the ability to manage competing priorities with professionalism and discretion. Key Responsibilities: Client Support: Assist in preparing and processing client documentation. Schedule and confirm client appointments. Respond to client inquiries via phone, email, and in-person meetings. Maintain and update client contact lists. Administrative Tasks: Maintain and update client records and databases. Prepare reports, presentations, and financial summaries. Handle correspondence and communication on behalf of the financial advisor. Compliance and Record Keeping: Ensure all client interactions and transactions comply with regulatory requirements. Maintain accurate and up-to-date records of client interactions and financial plans. Manage client records in Salesforce and other approved CRM systems. Event Coordination: Assist in planning and organizing client events, seminars, and webinars. Coordinate logistics, including venue booking, catering, and guest lists. Promote events through various marketing channels. Office Management: Manage office supplies and ensure a professional and welcoming office environment. Coordinate with other team members to ensure smooth office operations. Qualifications: Education: Bachelor's degree in business, communications, or a related field preferred. Experience: 5 - 10 years of experience in an administrative role, financial services is highly preferred. Experience supporting multiple advisors and managing competing tasks and priorities. Familiarity with Salesforce or other large CRM databases is strongly preferred. Knowledge or interest in financial products and services. Skills: Strong organizational and multitasking abilities. Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Ability to maintain confidentiality and handle sensitive information. Creative thinking and problem-solving abilities. Compensation: Competitive salary based on experience.
