Job Description

Basic Function: Provides professional and proficient clerical support to the hotel's sales department. Essential Duties: Prepares all written correspondence (letters, memos, proposals, contracts) for  the Director of Sales. Assists in the daily tracking of Top 25 Account Report. Prepares and sends faxes as necessary while maintaining responsibility for appropriate copying and distribution of department's correspondence. Screens and directs all incoming phone calls or walk-ins to the appropriate person.  Records accurate messages for sales personnel. Sets up new client files in accordance with the Account Maintenance Program (AMP).  Maintains current master file on all customers to facilitate accurate billing.  Maintains "˜tracer' files for sales functions. Compiles and maintains current client mailing list and rolodex. Maintains office supplies inventories.  Orders new supplies with approval of Director of Sales. Other Duties: Assists the Sales Department with obtaining last minute details of groups and follow-up groups. Assists the Sales Department with the distribution of weekly function sheets. Performs other duties as assigned by management. Essential Requirements: High School Diploma. Must be able to speak, read, write, and understand basic English in order to communicate effectively with all clients, guests and other hotel associates.  Must possess a mature, pleasant telephone manner. Flexible personality with ability to deal with department's varying personalities and work styles. Must be able to prioritize work flow of office. Strong interpersonal skills allowing for the smooth and efficient coordination of department's activities. Requires sitting and typing frequently and mobility enabling one to escort clients/guests to all parts of the hotel, as appropriate. Computer literacy in the area of word processing applications; basic typing skills (55 wpm). Other Requirements: Minimum of 1 years' secretarial experience preferred. Training Needs: Basic overview of hotel's operations. Training in telephone etiquette. Training in providing quality guest service.
