Position Purpose: The incumbent is accountable for providing operational and administrative support to the Project, the project staff and other departments as required. Oversees day-to-day routine, customer service, and administrative activities for the Bayonne project with a strong focus on assisting with the day-to-day administration of the CMMS (KloudGin) work order management system. Primary Duties/Responsibilities: Responds to all escalated customer service issues, ensuring issues and complaints are resolved in a timely manner. Investigates and evaluates customer complaints related to water service low or high pressure, taste and odor, leaks, backups and sinkholes. Coordinate with Utility employees and Supervisors to resolve complex customer issues. Generate and schedule work orders for field employees. Conducts planning and scheduling of work in CMMS. Facilitates daily, weekly planning meetings. Coordinate scheduling calendar. Manages daily work orders in the system, ensures proper creation, planning and updates, and manages the assets in the computerized maintenance management system CMMS (KloudGin). Creates and maintains surveys, work plans, maintenance schedules and routes in the CMMS. The incumbent demonstrates safe work practices, takes part in safety meetings, and advises the project staff of any non-conforming conditions. Assists with greeting visitors, maintains security of the facility through proper check in/out processes at the front office. Assists with meeting and event logistics for the System Maintenance facility. Transmits and distributes outgoing correspondence to client and regulatory agencies, ensures delivery via certified mail and maintains a correspondence log. Receives, screens, and distributes all incoming communications, i.e., distribution of mail, answers the telephone, greets callers when necessary and keeps company bulletin boards up to date. Create work orders and dispatch work to appropriate field staff. Coordinate with the Supervisor to create and submit site evaluations and hire officers. Files project documents and use of general filing system according to company and professional standards. Performs activities associated with Procurement & expense systems, e.g., using SAP4, software procurement functions, enters requisitions and purchase orders, verifies coding, follows up on status of POs and vendor payment, processes incoming invoices, and receives materials into the system. Processes timekeeping records and expenses for Project; assist with other projects as directed. Make sure the office has appropriate stock and orders enough supplies. Assists project staff in resolving payroll and benefits related issues as needed. Acts as the liaison for problem solving the software for field staff with vendor / helpdesk. Engages in meetings with the GIS team to collect and maintain data in the system. Engages with contractors to schedule necessary work. Distributes notifications through the Notify system for planned work and emergencies. Responsible for reporting of the KPIs for monthly, quarterly and annual reports to the Client & other agencies. Complies with all organization safety, Standard and field operations procedures. Participates in continuous improvement programs. Performs other projects/tasks/duties assigned. Qualifications: Qualifications Education/Experience/Background: High School Diploma/GED is required. Associate degree or equivalent from a two-year college or technical school preferred. 3-5 years Administrative, customer service, or System Maintenance experience in vertical and asset management related experience preferred. Knowledge/Skills/Abilities: Computer proficiency with MS Office, Google platforms. Demonstrated mature judgment and integrity of sensitive and confidential employee information. Ability to shift priorities' and effectively perform under pressure. Ability to be proactive and results orientated. English usage, spelling, punctuation and grammar. Good working knowledge of procurement procedures and accounts payable. Ability to interface effectively with all levels of management and personnel in other departments. Respond to customer and client stakeholder engagement, related to day-to-day complaints and business calls. Must be able to speak English to communicate with employees and customers. Must be able to read and write English. Must be able to learn new safety processes and new equipment/technology. Physical Requirements: Ability to stand and sit for extended periods of time.
