Job Summary The Product Program/Volunteer Experience Coordinator (PPVEC) is a member of the Product Program and Volunteer Experience teams for Girl Scouts of Texas Oklahoma Plains (GSTOP). Product Program is a pillar of the entrepreneurial programs of Girl Scouting, teaching Girl Scouts how to manage and execute their own business through the annual Fall Product and Girl Scout Cookie Program. The PPVEC supports the planning and execution of programmatic events including but not limited to Cookie University and Financing Your Superpower events. The PPVEC is additionally responsible for Volunteer Experience in the Lubbock area including but not limited to the coordination, implementation, and partnership with volunteers to deliver Product Program, and supporting and retaining adult volunteers and girl members in assigned areas through retention, mentoring, developing and delivering resources, and developing and maintaining partnerships to assist volunteers in their work with girls. This position prioritizes diversity, equity, inclusion, belonging, and access to ensure delivery of the best quality Girl Scout leadership experience for girls. The Product Program/Volunteer Experience Coordinator in collaboration with the Product Program Manager will exercise discretion and judgement with respect to matters of significance. Requirements Essential Duties and Responsibilities Product Program Responsibilities Recruits, trains, and partners with volunteers for assigned area(s). During the cookie program, works closely with assigned volunteers on weekly planned orders and inventory management to ensure accuracy and minimize leftover inventory. Cultivates and maintains product program vendors and corporate partnerships. In partnership with the Product Program Manager and team assists in development of online training modules, manuals, Product Program policies, newsletters, and other communication materials to ensure high quality training of leaders. Along with the Product Program team, works with product program vendors, delivery agents, and all other outside entities to ensure efficient and effective product program experience for Girl Scouts and volunteers. Supports the collection of revenues for Cookie Program in the Fort Worth area. Keeps abreast of GSUSA Product Program changes through webinars and meetings. Volunteer Experience Responsibilities Responsible for implementing year-round retention strategy with a focus on an increase in enlisting existing adult and girl members, securing service unit team members, troop leaders, and other volunteers to support and deliver the Girl Scout Leadership Experience in the Girl Scout troop model. Develops and maintains program partnerships and collaborations. Ensures the integrity of data and independently run reports (Salesforce, Looker, etc.). Works with Service Unit volunteers to understand the dynamics of their area and develop a two-way working relationship that ensures information is shared between volunteers and Council. Recruits, retains, trains and partners with volunteers for the effective delivery of program in all areas of volunteer experience with a focus on mentoring new first and second year through the leadership experience with questions, updates, and troop status for the coming year through new leader touchpoints Connects new volunteers with their service unit team for support, guidance, and activities. Monitors and provides support for problem solving and conflict resolution in a timely manner. General Responsibilities Ensures safety, risk management, & loss prevention procedures are followed by girls, caregivers, and volunteers as well as provide crisis management support, as needed. Works collaboratively with all GSTOP departments to develop promotional and support strategies both internally and externally for the assigned area(s). Provides high quality support to all internal and external customers by behaviors demonstrating the Girl Scout Promise and Law. Responds to all correspondence (Emails and Salesforce cases) timely. Travels between GSTOP service areas as needed. Participates in Council work and/or other cross functional team projects as assigned. Attends required meetings to listen, collaborate, learn and develop strategies around council initiatives. Other duties as assigned by the Product Program Manager Troop. Achieve Results Problem Solving 16. Time Management JOB QUALIFICATIONS - - Knowledge, skills, and abilities Bachelor's Degree or any combination of relevant education, training, and experience. Proven ability to work with staff, volunteers, third-party vendors, & other businesses. Commitment to the mission and purpose of Girl Scouting. Membership in Girl Scout organization. Must be willing to work with all persons without regard to race, religion, ethnic origin, socio-economic status, sexual orientation, age, or disability. Bilingual (Spanish) preferred but not required. Ability to work a flexible schedule including occasional evenings and weekends. Availability for most weekends and some evenings is required during the Cookie Program in January and February annually. Occasional weekend overnights are also required for girl reward events in April and May. Demonstrated ability to coordinate multiple projects while managing conflicting priorities and deadlines. Formulate short and long-term project goals, objectives, schedules, and priorities in line with GSTOP goals. Ability to recognize when immediate action is required. Experience recruiting, selecting, supervising, and releasing adult volunteers. Ability to manage and respond promptly to difficult or emotional customer situations. Experience in Salesforce is a plus. Proficiency in Microsoft Office Suite. Ability to maintain confidentiality. Have and maintain a valid Texas driver's license, an acceptable driving record, acceptable insurance, and reliable transportation. Must complete and pass a criminal background check, motor vehicle records check, and drug screening.
