Proper Hospitality is seeking a Purchasing Manager at Montauk Yacht Club, our 107-room luxury property within The Collective. As the Purchasing Manager, you will be responsible for managing the procurement process to ensure the efficient sourcing and delivery of high-quality goods and services for our guests and hotel operations. This role requires a keen eye for detail, strong negotiation skills and the ability to maintain positive relationships with suppliers while adhering to budgetary constraints. Key Responsibilities Vendor Management Identify, evaluate and negotiate with vendors to secure the best pricing, quality and terms for goods and services required by the hotel Develop and maintain strong relationships with suppliers to ensure timely delivery and resolve any issues that may arise. Procurement Strategy Develop and implement strategic procurement plans to optimize purchasing processes, reduce costs and enhance efficiency while maintaining the highest standards of quality and service Inventory Management Oversee inventory levels and ensure adequate stock levels of essential items while minimizing excess inventory Implement inventory control measures to prevent wastage and pilferage Budgeting & Cost Control Collaborate with department heads to develop annual purchasing budgets and monitor expenses to ensure compliance Identify cost-saving opportunities and implement initiatives to maximize profitability without compromising quality Quality Assurance Establish and enforce quality standards for all purchased goods and services to meet or exceed guest expectations and uphold the hotel's reputation for excellence Compliance & Documentation Ensure compliance with relevant laws, regulations and hotel policies regarding purchasing activities Maintain accurate records of purchases, contracts, and vendor agreements Team Leadership Lead and mentor the purchasing team, providing guidance, training and support to ensure high performance and professional development Qualifications & Skills Bachelor's degree in Business Administration, Hospitality Management, or related field preferred Proven experience in procurement and purchasing management within the hospitality industry, preferably in a luxury boutique hotel environment Strong negotiation, communication and interpersonal skills Excellent organizational and problem-solving abilities Proficiency in procurement software and Microsoft Office Suite Ability to thrive in a fast-paced, high-pressure environment while maintaining attention to detail and accuracy Company Overview Proper Hospitality is made up of a diverse group of passionate individuals who share a common love for hotels and the art of hospitality.
