For more information, please visit . Job Purpose: The Receptionist is a key player within the team as this role is responsible for supporting the office to conduct all aspects of the closing process. The Receptionist is the front facing employee of the office and supports all areas and office teams including the Sales and Marketing Team as needed. Essential Job Functions: Meet, greet and make all visitors feel welcome; schedule appointments. Operate multiple-call telephone lines and route calls to appropriate people in accordance with company guidelines. Maintain appearance of reception area and office. Operate office equipment, copy machines, sort and distribute mail. Maintain supply room: Maintain supply inventory, order supplies, check in supplies when received from vendor, follow-up on problems with supply vendors and provide supplies to staff on request. Creates a positive, collaborative, teamwork environment based on the company culture and values. Project Management Database Management Event coordination Distributes and collects incoming mail. Collects and processes outgoing mail. Responsibilities include determining, affixing, and recording postage on registered mail and packages. Checking in and log all UPS & FEDEX packages. Order payoffs. Scan and send all funding packages. Make bank deposits as required. Assist the Sales and Marketing Team with Project Management, Database Management and Event Coordination. Knowledge, Skills and Abilities: At least one year of administrative support experience. A service-oriented mindset and a commitment to providing exceptional customer service. Strong communication skills; written, in person, and by phone. Ability to multi-task while maintaining an upbeat and professional demeanor. Basic Qualifications: High school diploma or equivalent. Strong knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook). Ability to thrive in a fast-paced, results-oriented environment. Keen sense of urgency. Must successfully pass a criminal history and credit background check. Preferred Qualifications: Previous experience in Title and Escrow. Supervisory Responsibility: This position has no supervisory responsibilities. Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Physical Requirements/ADA: No unusual physical requirements. Requires no heavy lifting, and nearly all work is performed in a comfortable indoor facility. Routine deadlines; usually sufficient lead time; variance in work volume seasonal and predictable; priorities can be anticipated; some interruptions are present; travel or other inconveniences have advance notice; involves occasional exposure to demands and pressures from persons other than immediate supervisor. Job frequently requires sitting, handling objects with hands. Job occasionally requires standing, walking, reaching, talking, hearing, and lifting up to 10 lbs. Vision requirements: Ability to see information in print and/or electronically. Position Type/Expected Hours of Work: Days and hours of full -time position are Monday through Friday, 8:00 a.m. to 5 p.m. Part-time positions may be considered. Travel: No travel is expected for this position. Salary is variable based on experience.
