Position Summary: Our Phoenix office has an opportunity for an Office Administrator to manage local administrative functions and assist with growth initiatives. This position is physically located in the Phoenix office and may assume responsibility for additional Ogletree Deakins offices and/or practice groups as appropriate. The Office Administrator is responsible for the business administration of that office, including all support functions and non-attorney staff coordination and may also be provided opportunities to collaborate on broader initiatives that support continuous improvement efforts in benefit of firm interests. This position will independently manage the operations of the office, including human resources, marketing & event planning, local financial planning and controls, facilities and information systems oversight, as well as other tasks. The position will work closely with the Managing Shareholder in the development and ongoing administration of the offices strategic plan. Essential Functions: Human Resources - Under the direction of Firm HR Director: Communicate and enforce policies and procedures. Conduct interviews and recommend selection of staff employees. Initiate new employee intake process (including offer letters), employee status change requests, and exiting employee process. Conduct new hire orientation and training. Coordinate employee benefits issues with Administrative Office. Coordinate secretarial/administrative workloads. Coordinate and provide feedback on annual staff evaluations. Identify performance issues and work with local Managing Shareholder and/or Firm HR Director to resolve. Marketing and Event Planning: Work closely with the Managing Shareholder to plan and coordinate local marketing events including briefings and seminars. Identify networking and other business development opportunities. Financial Management and Budgeting: Prepare and monitor annual budget. Review and approve invoices and expenses for the office. Review and analyze monthly financial reports. Responsible for the administration of the office checking account and attorney trust account. Oversee purchases of equipment, maintenance contracts and office supplies, coordinating with Firm Procurement and Office Operations when applicable. Facilities: Issue building identification and office keys. Maintain personnel directory. Act as Liaison between firm and landlord regarding any minor facilities projects, maintenance requests, or issues. Act as safety coordinator and train employees on emergency procedures. Oversee records storage and management. Technology: Oversee all technology and telecommunications within office working with Site Support Specialist and act as Liaison with Service Desk when needed. Coordinate technology upgrades and maintenance with Administrative Office IT department and vendors with support of the Site Support Specialist. Committees and Meetings: Attend local Shareholder meetings and chair Staff meetings. Plan Office Social Functions. Manage special projects as assigned by Managing Shareholder. Attend Office Administrators Forum. Requirements: Degree and 4+ years of Office Management, HR experience, or 6 years combination of experience and education. Candidates must be professional, have significant and proven experience in managing others. Law firm experience is preferred, but not required. Experience with other professional services will also be considered. Experience in directing workload, performance management, training, event planning, staffing and recruitment. Experience utilizing independent initiative and thoughtful decision-making with little oversight. Excellent oral and written communication skills. Advanced proficiency in all Microsoft applications, including but not limited to Word, Excel, PowerPoint, Outlook, plus Document Management Systems. Ability to operate all common office equipment, including audio visual equipment. Please note, we are not working with outside recruiters for this position.
