Legal Administrative AssistantPart Time, Flexible, between 24 - 32hrs300 Park Ave, New York, NYResponsibilities: ● Scheduling meetings for Office of the General Counsel (OGC) members and other Global Legal Organization (GLO) team members who have larger meetings ● Assist with arranging any large GLODivision meetings ○ Would interact by phone and online meetings with team members outside of the US ● Prepare, monitor, and follow up on expense reports for OGC members ● Travel support: ○ Liaise with destination adminsGLO members regarding the travel ○ Prepare, monitor, and follow up on requisite visas and other travel requirements (eg vaccines) ○ Book accommodation and ensure transportation has been arranged ○ Ensure calendars are up to date ● Create and format presentations in Google Slides ● Provide support on editing presentations in Google Slides and fixing problems with documents in Google Docs and Microsoft Word ● Monitor physical mail for GLO team members, and deliver from mailroom to team member offices ● Help with preparation for, running of, and follow-ups from the GLO Quarterly Webcast● Manage annual holiday party, Colgate Cares events, etc. ● Register visitors with lobbysecurity, arrange for security badges ● Book meeting rooms and visitor offices ● Provide coverage when Chief Legal Office's (CLO) admin is absent ● Manage access to Onit system via Okta ● Troubleshoot minor Onit issues, assist with standardroutine updates. ● Manage creation of new Google Groups and maintenance of existing ones ● Assist with onboarding of new GLO employees - computer set-up. Potential Google training ● Maintain GLO Tools Google Slide Deck ● Assist with documentation of new Onit tools ● Create and manage Looker Studio dashboards Required Competencies: ● High level of expertise with Google Suite of tools, particularly Google Slides, Docs and Sheets, as well as Microsoft Word, Excel and PowerPoint. ● Knowledge of Looker Studio a plus. ● Collaborative, friendly, energetic - will need to work well with executive Admins ● Creative problem-solver#LI-JC3
