About the OpportunityThis is an opportunity for an Executive Office Assistant to join a premier commercial construction company based in New York City. The Administrative Assistant will provide support to senior management performing diverse administrative and project management functions. The Executive Office Assistant will independently complete assigned non-routine tasks to meet specific goals, serving as the primary liaison between the executives, the internal organization, clients, consultants, and sub-contractors.About the CompanyOur client is the premier residential conversion specialists in New York, converting nearly 40 commercial properties covering over 10 million square feet into more than 10,000 residential units. In addition to conversions, the firm also handles new construction services.ResponsibilitiesInterface with entrepreneurial and institutional clients, design consultants, sub-contractors, legal, IT, tax and insurance professionalsDraft, prepare, proofread, and file correspondence, memos, and other documentsCompile, process, and analyze data based on research objectives and prepare reportsManage and maintain executive calendarsOrganize, schedule, and coordinate internal and external meetings and conference callsFollow up on action items and report status to attendeesMaintain and update directories, contact and distribution listsCoordinate work with third-party suppliers to address support needs on behalf of the companySpecial projects as needed, including marketing and website updates, event planning, etcPersonal tasks as neededQualificationsEnergetic and conscientious team player with the ability to multi-task under pressure in a fast-paced environmentExcellent oral and written communication skillsExtraordinary attention to detail with high level of accuracyStrong planning, presentation and organizational skillsHandle confidential matters with discretionResourceful, creative, and able to adapt quickly and effectively to unexpected changes in a positive mannerExperienceMinimum 5+ years in construction, real estate, Architectural or Engineering related fieldMinimum 5+ years supporting high-level executivesAdvanced knowledge of Outlook, Word, and Excel.
