Reports to: Director of Finance Date: December 2024 Summary Under the direction of the Director of Finance, the Payroll and Benefits Clerk handles the day to day operations relating to payroll and benefits for all park district staff. Maintains payroll information by setting up systems; collecting, calculating, and entering of data Updates payroll records by reviewing changes in exemptions, insurance coverage, savings deductions, job titles, department/ division transfers, and collective bargaining agreements Processes bi weekly payroll through current payroll software Runs reports by compiling summaries of earnings, taxes, deductions, leave, and nontaxable wages Maintains, and processes year-end ACA files Prepares and maintains employee W2 reports, distributes W2's to employees Prepares new-year files in payroll software and updates files with current tax rates and employee deductions Ensures that quarterly federal and state tax reports are filed Calculates and files monthly IMRF reports and payments Pays insurance vendor accounts Administers insurance benefits; (ie. enrollment packets, etc) Communicates with insurance broker and staff regarding benefits Helps maintain personnel files and payroll files in accordance with legal guidelines Manages staff IMRF enrollment, termination, IMRF disability claims, and retirement Provides payroll information by answering questions and requests, and compiling reports for management and staff Maintains payroll guidelines by writing and updating policies and procedures Maintains employee confidence and protects payroll operations by keeping information confidential Maintains compliance with federal, state, and local legal payroll requirements Hours Full time, 40 hours a week. Typically, daytime hours, but may include evenings, weekends, and holidays as needed Supervisory Responsibilities None Work Environment Employee's general work area is indoors in a smoke-free environment with controlled temperature and fluorescent lighting.
