We are seeking a highly organized and proactive Executive Assistant & Office Manager to support our organization, manage daily operations, and handle business inquiries.Position Overview:The Executive Assistant & Office Manager plays a vital role in ensuring the smooth operation of our organization. This individual will provide high-level administrative support to the Executive Director and Executive Board, oversee office operations, compile reports, and serve as the primary point of contact for businesses, community partners, and government agencies.Key Responsibilities:Executive & Administrative Support• Manage the Executive Director's calendar, appointments, and travel arrangements.• Prepare meeting agendas, reports, and presentations for board meetings andstakeholders.• Assist in grant tracking, reporting, and compliance documentation.• Draft and proofread official correspondence, memos, and business reports.• Organize and attend board and committee meetings, recording minutes and ensuring follow-ups.Office Management & Operations• Oversee day-to-day office operations, including vendor coordination, office supplies, andIT support.• Process invoices, reimbursements, and financial tracking in coordination withaccounting.• Maintain electronic and physical filing systems for contracts, reports, and records.• Ensure compliance with internal policies and state/federal guidelines.Business & Community Relations• Serve as the first point of contact for business inquiries, investors, and governmentpartners.• Respond to emails, phone calls, and walk-in inquiries professionally and efficiently.• Maintain and update business contact databases, stakeholder lists, and CRM systems.• Assist with planning and executing community workshops, public meetings, andnetworking events.Data & Reporting• Compile and manage economic development reports, performance metrics, and grant data.• Research and prepare business retention, expansion, and workforce reports.• Support the Executive Director in analyzing trends and developing presentations forcounty officials and stakeholders.Qualifications & Skills:Education & Experience• Bachelor's degree in Business Administration, Public Administration, Communications, or a related field (preferred but not required).• 3+ years of experience in office management, executive assistance, or administrative support. (preferred).• Experience in economic development, government, nonprofit, or business administration is a plus.
