Job Description

The Executive Administrative Assistant for Community Choice Credit Union provides high-level administrative support to the CEO, Board of Directors, and Executive Leadership Team. This role is integral to ensuring the efficient operation of the executive office through expert coordination, exceptional organizational skills, and a commitment to professionalism. The position requires a proactive, detail-oriented individual who can handle highly confidential information with discretion while managing multiple priorities. Serving as a key liaison between executives and internal/external stakeholders, this role supports the credit union's strategic goals and operational excellence. What You'll be Doing:Board of Directors Support - Organize and coordinate Board of Directors meetings, including preparing agendas, materials, and minutes. Coordinate and administer the Board Education Plan for Board Chair. Ensure compliance with governance policies, maintaining accurate records for board meetings, resolutions, and official documentation. Act as a liaison between the Board and executive leadership, facilitating communication and follow-up on action items. Coordinate logistics for board events, including annual planning sessions, retreats, and other special events. Executive Support - Provide primary support to the CEO, ensuring company goals and objectives are met and daily operations run efficiently. Manage the CEO's calendar, coordinate appointments, and schedule internal and external meetings. Prepare, edit, and distribute correspondence, presentations, reports, and meeting materials as needed. Handle travel arrangements and expense reporting for the CEO, ensuring accuracy and timeliness. Act as the primary point of contact for inquiries directed to the CEO's office, addressing or redirecting them appropriately.Administrative Support & Office Operations - Maintain well-organized and compliant filing systems for executives and regulatory documents. Manage third-party vendor due diligence program, ensuring all contracts, documents and records are organized and monitored. Serve as a key contact for external stakeholders, fostering professional relationships with vendors, members, and community partners. Oversee administrative processes to optimize efficiency, including interoffice communications and administrative workflows. Event Planning and Special Projects - Assist in planning and executing credit union events such as leadership retreats, board meetings, and community initiatives. Support special projects and initiatives assigned by the CEO or executive team, ensuring timely and effective execution.Who We're Looking For:Education - Bachelor's degree in business administration, communications or a related field.Experience - Proven experience as an Executive Assistant; minimum of 5-8 years of experience in executive-level administrative support, preferably in a financial or credit union environment.Skills & Abilities - Strong organizational skills with exceptional attention to detail. Excellent written and verbal communication skills. Ability to handle multiple priorities and meet deadlines in a fast-paced environment. High level of discretion and professionalism. This position operates in a professional office environment. The role requires occasional flexibility for evening or weekend meetings/events.
