We are dedicated to providing exceptional legal services to our clients. We seek a motivated and enthusiastic Office Secretary / Legal Admin Support to join our team. Job Overview You will play a vital role in supporting the administrative functions of our law firm. You will assist with various tasks that ensure the smooth operation of the office and provide essential support to lawyers and other staff members. You will be working primarily with the Litigation Department, with your work involving assisting with the preparation of Court bundles for hearings and trials, regular correspondence with the Court to progress live legal proceedings, arranging payments of counsel and court fees, and general administrative assistance to the Litigation team. Key Responsibilities Perform general administrative tasks such as filing, photocopying, and scanning documents. Manage incoming and outgoing correspondence, including emails and phone calls. Assist in maintaining office supplies and inventory, ensuring the office is well-stocked and organised. Support legal staff with document preparation and case management. Assist with client enquiries and appointment scheduling. Dealing with file closing procedures. Maintain confidentiality and adhere to legal protocols and standards. Opening new files, including completing necessary AML checks/onboarding protocols for new clients. Assisting the team with the preparation of Court bundles and other paperwork in proceedings. Engaging in correspondence with the Court both via email and telephone to ensure the smooth progression of live proceedings. Attending Court hearings/trials with supervisors/solicitors in a support capacity; Attending Court to file documents/bundles. Organising payments to barristers and the Court / other third parties, and allocating incoming payments from the firms clients for our legal costs. Perform any other duties as required by supervisors or legal staff. Qualifications Secondary school GCSEs and/or College A Levels or equivalent; additional office administration qualifications are a plus. Strong organisational skills and attention to detail. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). Excellent communication skills, both verbal and written. Ability to work independently and as part of a team.
