Located in Milton Keynes, the centre is home to the Groups training operations, developing our base of 26,000 retailer learners in the UK. Calex is the supplier of learning services, working in partnership with Volkswagen Group UK.The role:Reporting directly to the Partnership and Performance Manager with a responsibility to work with and support the Calex and Volkswagen Group First Line Management Team.We are looking for an individual that is:Collaborative and inspiring, and can work towards a common vision with a can-do attitudeFlexible and adaptable and can demonstrate willingness to consider, adapt and adopt new approachesAccountable and reliable, with the ability to communicate clearly and effectively about progress and challengesOpen and honest, with the ability to adjust communication style according to individuals preferencesMain tasks and responsibilities:Support the successful delivery of simultaneous business projects, each with individual stakeholders, resource requirements, success measures and timelinesCreate and deliver high quality stakeholder reporting/updatesAdminister Calex finance quotes, reconcile purchase orders (POs), supplier invoices and receipts, create budget forecasts, raise and follow up sales invoices, and maintain accurate and timely business reportingCreate and deliver high quality activity reportingPlan and manage all key first line meetings with required stakeholders, from room booking and preparation of documentation to attending meetings and capturing minutes and key actionsEnsure all meeting documentation is complete, current, and stored appropriately, with actions followed up and updated in accordance with meeting cadences and terms of referenceSupport Calex and Volkswagen Group First Line Management Team with any ad hoc requirementsManage and drive ongoing creation of and maintenance of businesses processes linked to contract wide administrative activityEnsure that records and data are accurately maintained, and that information provision is fast, efficient and effectiveIT set up including new user and leaver requests, equipment requests and returnsAdminister software and licence requests, monitor usage and support with forecasting future requirementsMaintain accurate hardware asset listsPerson Requirements:Highly proficient user of Microsoft PowerPoint at Advanced level: Skilled in creating polished, professional presentations using templates, animations, data visualisation, and narrative flowHighly proficient user of Microsoft Excel at Intermediate level: Proficient in using functions like VLOOKUP, IF, COUNTIF and conditional formatting. The nature of this role may necessitate that we undertake a DBS check.EmploymentThe successful candidate will be employed by Calex UK (www.calexuk.com). Calex are a specialist automotive training provider and provide training staff and expertise including Trainers, Developers, Digital Learning Experts, and Administrators to Volkswagen Group UK. The successful candidate will join an established team, at the VWG National Learning Centre in Milton Keynes.Visa SponsorshipAlthough Calex UK is on the register of Worker and Temporary Worker licensed sponsors, there is not an opportunity of sponsor for this specific role.Place of WorkVWG National Learning Centre, Wymbush, Milton Keynes. We currently operate hybrid working with at least 60% of time in the National Learning Centre with the opportunity to work up to 40% remotely. Time spent in the office may change. There will also be times when it may be necessary to work from alternative locations.Closing DateTuesday 13 May 2025.Stage 1 Interviews are scheduled to take place on Monday 19 May via MS Teams.Stage 2 Interviews are scheduled to take place on Tuesday 27 May face-to-face at the National Learning Centre (MK8 8DF).
