While we currently sell exclusively in the UK, we have ambitious plans to expand internationally.Role Overview:The Operations Support role is a hands-on position that plays a crucial role in ensuring the seamless functioning of our operations and customer services functions. This individual will be highly flexible and responsible for coordinating daily activities, assisting the team with operational needs, ensuring adequate staffing and training, and helping out on customer services. This role requires a proactive approach to problem-solving, staff management, and process improvement to ensure efficiency and quality across all operational areas.Key Responsibilities:PeopleRecruitment: Ensure adequate staffing of Operations Assistants, recruit when necessary, and provide induction materials.Training: Train staff on procedures as per the Training Matrix within four weeks of induction.Staff Planning & Production Scheduling: Schedule Operations Assistants and Senior Operations Assistants weekly.PremisesWaste Control: Monitor and manage our waste collection suppliers. Pest Control: Conduct monthly pest inspections and address any issues.Visitor Registration: Ensure all visitors are properly logged and unauthorized personnel are turned away.Housekeeping Checks: Conduct monthly checks on all premises and resolve any issues.Office Cleanliness: Ensure offices are kept tidy and mange our cleaning suppliers.Quality Management System (QMS)Uploading & Verifying Production Documents: Ensure accurate documentation of production activities.Environment & Product Recall: Maintain warehouse and production area records, and support product recalls.Monthly Traceability Check: Support the operations manager to conduct traceability checks in compliance with our accreditation requirements.Flammable Items Checklist: Maintain inventory of flammable items as per guidelines.Other QMS Admin: Support the Operations Manager with other monthly admin and proceduresCustomer ServiceCustomer Requests & Complaints: Respond to customer complaints and requests in a timely and professional manner, ensuring high standards of service and resolution.Additional ResponsibilitiesParticipate in daily team meetings and provide trial shift instructions.Assist directors with requests as needed.Maintain a high standard of operational excellence in all duties.Working HoursThe role requires availability to work 5 out of 7 days, with a mandatory Saturday shift.Flexible working options for the Saturday shift can be provided after the training period.Qualifications and Skills- Proven experience in any of the following areas: office admin, operations, warehouse management, or team coordination.- Good written English is very important.- Strong organizational and communication skills to manage staff and workflow effectively.- Ability to multitask and prioritize in a fast-paced environment.- Attention to detail and commitment to maintaining high standards of quality and safety.- Flexible in their approach to work.
