Job Description

The role of the Procurement / Contracts Administrator would be to provide administrative support to the wider property management team in the administration of service agreements and contracts across the portfolio, support in the tendering process, and maintaining systems and records.The duties would include:Supporting the Property Management team in preparing, writing, and tendering of service contractsSupporting in the onboarding and offboarding of service partners and contractorsSupporting the Property Management team in the management of service partners compliance with contractual KPIsOrganising regular KPI review meetings with service partners in support of the facilities management teamSupporting in the preparation of documentation of contracts and noticesSupporting in the sourcing of new service partners and contractorsSupporting in the onboarding of new propertiesMaintaining the approved supplier list and contractor verification platform Vantify (Formerly Prosure360)Maintaining service contract library / recordsSupporting in the review of contract specificationsSupporting in the management of tendering for new property & asset management contractsReviewing supplier / contractor insurance documentationReviewing supplier and contractor qualifications and documentationProviding any other support to the property management team as required in the management of our supplier database and approved contractor list.Skills and CompetenciesStrong IT skillsGood knowledge of procurement processesStrong attention to detail for system and data managementStrong relationship building skillsExperiencePrevious experience in procurement or contracts management preferable but not essential
