Vacancy InformationThis role is within a unit where Surrey Police and Sussex Police work in collaboration, whilst remaining two separate legal entities/employers with different terms and conditions.Both Surrey Police staff and Sussex Police staff are employed in this unit on their own force terms and conditions.Successful candidates may be appointed on the terms and conditions of employment of either Surrey Police or Sussex Police, depending on organisational requirements. We are excited to offer a fantastic opportunity for a dedicated fleet admin officer to join our dynamic team at our Stonebridge Police Workshop. Providing regular updates to police personnel in respect of vehicle availability. Support other workshops in local geographical areas in time of leave or sickness to ensure correct level of service is maintained to support the local operational teams and departments. Completing general administration tasks and ensuring that all internal systems used to manage the work is kept up to date in a timely manner. Assisting with keeping the parking area tidy, by moving vehicles into correct locations as required. To undertake the role of workshop reception, greeting end users, assisting them as required, keeping in touch with end users and responding to their queries in a timely manner. Ensure all the data related to drivers, vehicles and equipment is accurately uploaded onto our management solutions system, involving numerical and text data sets. You'll create and export valuable information, graphs and reports for JTS Management, staff and other stakeholders. Assisting with covering the stores department in time of annual leave or sickness where required. Handle the processes to correctly register, and de-register, and dispose of vehicles. Coordinate engineering work orders and equipment servicing plans to ensure our vehicles and related equipment are serviced, maintained, and repaired in accordance with our standards. Manage documentation as per the Force Data Retention Policy. Collaborate with external contractors to schedule and oversee vehicle maintenance and accurately process purchase orders. Provide essential administration support, handle reception duties, maintain files, and tackle any additional tasks commensurate with your role.Skills & Experience As the ideal candidate, you will possess: Excellent planning and organisational skills to manage own work volume. Your strong interpersonal skills foster positive relationships, making you an excellent team player who thrives on diverse tasks and shared objectives. Experience of working within a team, and working to own initiative without close supervision. Good understanding and use with IT office solutions (e.g. MS Word, Excel). Proven experience working under pressure, prioritising workload issues to manage time effectively, meet tight deadlines, take control and respond flexibly to rapidly changing demands. GCSE or equivalent English (Grade 9-4 (A* - C)) essential. GCSE or equivalent Maths (Grade 9-4 (A* - C)) essential. You possess strong administrative skills coupled with an unwavering attention to detail, ensuring accuracy in all tasks. A genuine commitment to providing outstanding customer service, coupled with the ability to exceed expectations. You are adept at following established processes while actively seeking opportunities, and driving efficiency. Strong numerical, mathematical and statistical knowledge, underpinned by good analytical knowledge, ensuring you can tackle any challenge.
