Job Description

Job summary The post holder is responsible for the effective running of the reception / administration team. This includes overseeing the staff rota, ensuring that staff members are trained to work in their respective teams, effectively handling sickness absences, return to work interviews and holidays, and identifying the reception / administration team members training needs. In conjunction with the practice manager, ensure the delivery of appropriate training and recruitment of new staff members. The post holder is also responsible for preparing and submitting claims for payment to the ICB. Main duties of the jobWork with the practice manager to develop the optimum staff structure / rota and ensure that staff are available to fill the structure / rota (including managing relief cover as appropriate). The rota to be available at least 4 weeks in advance (on a rolling weekly basis). Effectively manage staff holidays and sickness absence, ensuring that all sickness absences are followed by a return to work interview and that copies of all relevant paperwork is held either in the shared folder or in HR file. Manage the diary for all clinicians' holidays, meetings, etc., and ensure that all the information is incorporated into the appointment schedules by informing the member of staff who organizes the clinics. To liaise with the person responsible for the maintenance of the holiday rota for nonclinical staff. Assist with complaints with the support of the Practice Manager. Liaise with the contract cleaners to ensure a high standard of cleaning for the premises. Arrange for contractors to carry out any urgent repairs needed to the building in the Practice Manager's absence after discussion with one of the Partners. Ensure along with the Practice Manager that regular checks are carried out on all alarm systems and boilers. Risk assessments, H&S and Infection control audits are carried out periodically.
