Job Title:Logistics & Operations Manager Contract type:Permanent Location : Based in The Fold's Bermondsey Head Office, hybrid (3 days a week in the office) Role Purpose: Responsible for managing all stock operations and logistics across the business, ensuring accuracy and adherence to SLA’s while controlling costs. A systems and Excel expert, you’ll drive process efficiency and maintain strong communication across Merchandising, Retail, Finance and PI&D. Areas of responsibility: 1. 3PL ManagementIs the main point of contact for all operational activity within the 3PL. Ensures 3PL are hitting their SLA’s and escalates any issues to Head Of Merch & Logistics & Commercial Director. Manages EOM/EOY priorities. Is accountable for bi-weekly meetings between 3PL & Fold HO and ensures there is a clear agenda and actions. Conducts regular site visits to maintain relationships (X4 per year). Reviews processing and storage guidelines and adjusts as necessary (e.g. steaming, hanging, flat v hanging storage). Manages fulfilment & warehousing budget and works with 3PL & Finance to control costs. Owns the 3PL forecasting tool. Contributes to business sustainability practices in relation to the 3PL (stock/packaging etc). 2. Logistics/Intake ManagementOwns the relationship with Freight Forwarders. Works alongside production but ultimately accountable for organising all deliveries of production into 3PL taking into consideration any prioritization. Uses the FF portals to inform the delivery schedule and highlights issues relating to customs clearance etc. Issues shipments timetables & transit times. Manages customs & Duty payments with accounts. Reconciles and reports back on freight / duties. Works alongside buying/production on ensuring accurate date for imports (HS codes, MID codes etc). Approves relevant invoices in Netsuite relating to logistics & operations. Provides intake update in weekly business trade meetings. 3. Stock ManagementIs accountable for all stock movements within the business including stocks takes at 3PL & Store & inter store transfers. Works with finance on process mapping any stock related processes across the business (e.g., inventory adjustments, cycle counts, stock and fulfilment workflow). Works with finance to ensure accurate reporting of stock on a units and cost basis, and supports finance in determining stock valuation. Works with finance on forecasting of stock provisions. Monitors quarantine process, reporting on levels of faulty stock vs saleable stock. Works with HOM on Exit strategy, engages with 3rd parties such as TK Maxx, sample sales etc. 4. Reporting & Analysis/SystemsIs a Netsuite system super user. Understands and documents all system processes relating to stock and operations (impact on other areas), including integrations. Understands and works with Finance on the logistics trackers. Inputs / reports operational activity in WBR and S&OP. Owns the Warehouse forecasting tool - ensures the 3PL has long term & short term forecasts and that they reflect any WSSI re-forecasts. 5. Operations ProjectsWorks alongside CD, HOM on any projects relating to Operations & Logistics (3PL moves, changes in freight forwarders etc). Supports with any new channels that affect warehouse operations. Keeps up to date on any new legislation relating to customs, freight, duties. Constantly challenges rates / monitors (and reports back on) any changes in rates, surcharges & duties. About you: Be enthusiastic and pro-active. A great team player with a positive can-do attitude. Highly organised, with great multitasking and time management skills and a meticulous attention to detail. Strong planning and analytical skills, including strong knowledge of using Excel. In depth knowledge of logistics, operations and stock management systems, process and risk management. Comfortable in operating at strategic and operational level with the ability to problem solve and make data driven decisions. Collaborative approach and ability to build relationships across various departments. Is a change champion and has a proven track record in implementing new processes to improve performance. Is a competent negotiator and has the ability to forge collaborative relationships both internally and with external suppliers and partners.
