Personal Assistant / AdministratorGalldris GroupLocation: Enfield, EN3 7FJAn exciting opportunity has arisen for a Personal Assistant / Administrator to join our team at our Head Office based in Enfield.Galldris Services are looking for an energetic and enthusiastic person to join the Head Office where they will be the Personal Assistant / Administrator to the Managing Director, and responsible for handling the day-to-day activities, including Office Management and Administration duties.Key Accountabilities to include but not limited to:Office ManagementManage the smooth running of the office. Manage the purchase and maintenance of office equipment, facilities and services. Monitor stock levels of refreshments and stationery and replenish, as necessaryManagement of the office cleanerMaintain office systems, including data management and filingLiaising with contractors to ensure office maintenance is kept in good condition and contracts are kept updated. Monitor overall facility cleanliness and proactively identify areas that need attentionReception backupLunchtime coverHandle incoming and outgoing mail. Answer telephone calls and emails and route these to the appropriate personEnsure that records are kept up to date, including contact lists and the directory of office contactsManage day to day mails, emails, enquiries, deliveries, and place orders when necessaryPA to Managing Director (MD)Provide administrative assistance. Process correspondence, ensuring that incoming correspondence is dealt withAct as the primary contact for general enquiries and social events, and to coordinate meetings, including booking external venues, sending out reminders and setting dates. Organise complex travel and accommodation bookings, as necessaryManage ad hoc projectsManage diary and schedule meetings and appointments. Plan and organise meetings. Take action points and writing minutes. Preparing papers for meetingsSupport the Senior Management Team with travel and bookingsUndertake other duties commensurate with the level of this positionAdministrative DutiesUpdating of the live project listObtaining invoices for accountsManaging the football memberships and gamesAd hoc tasks for the CEOsManage the companys social media pagesAdmin for the commercial department for contractsSkills / ExperienceProven and demonstrable administration experience within an office-based environmentFully IT literateExcellent organisational and planning skillsExcellent communication skills both verbal and writtenAbility to deal with clients & internal staff. Ability to work on own initiativeMeticulous, organised pro-active with positive attitude and willing to learnSelf-motivated and enthusiastic.
