This role requires exceptional organisational skills, attention to detail, and the ability to manage multiple priorities with efficiency. You will act as a trusted partner, ensuring smooth daily operations for the tech leadership while facilitating communication and coordination across teams.Role AccountabilitiesTravel ArrangementsBooking flights, hotels, transportation, and other accommodations for business travel, ensuring itineraries are well-planned and efficient.Maintain diaries and contacts to ensure the best use of time in line with working priorities.Organise internal and external meetings, book venues and meeting rooms make arrangements for equipment and catering and ensure invitations and notes are distributed in a timely fashion.Organise travel itineraries for members of the team e.g. travel, accommodation and currency arrangements.Document PreparationDrafting and editing documents, presentations, reports, and other materials as requested by the executive. Where appropriate undertake copy and audio typing (where required), compiling minutes, correspondence, reports, spreadsheets, presentations, and meeting agendas to ensure information is presented in the most effective manner.Develop internal and external relationships with key contacts.Handle correspondence, emails, and communications on behalf of CTO.Project SupportAssisting with special projects or initiatives as assigned by the executive, which may involve research, analysis, and coordination with other team members.Manage CTO calendars, schedule department, partnership and ancillary meetings.Prepare reports, presentations, and technical documentation as needed for Tech Leadership.Support CTO and leadership in strategic planning, goal tracking, and project follow-ups.Manage departmental communications, ensure smooth collaboration and action tracking across the function.Events ManagementPlanning, coordinating, and executing events such as conferences, seminars, corporate retreats, and social functions, including venue selection, catering, logistics, and coordination with vendors.Any additional duties as assigned.Role RequirementsStrong diary management experience for more than one stakeholderExperience as an Executive Assistant within the insurance industryServe as a liaison between the tech team and other departments, ensuring smooth collaboration.Organise and coordinate leadership meetings, off-sites, and events including agenda preparation, minute taking and follow-ups.Assist with budget tracking, vendor management, and procurement processes for tech tools and services.Maintain and improve internal documentation, knowledge bases, and operational processes where appropriateCollaborate with the other EAs in the group where required on group wide initiativesSupport key tech initiatives by tracking deadlines, milestones, and deliverables.Help plan and execute team off-sites, hackathons, and other tech events.Manage onboarding and off-boarding processes for tech team members.Skills and AbilitiesOrganisedAccuracy, precision and attention to detailBeing able to prioritise various tasks at onceStrong relationship-building and communicationStrong organisational and project management skills.Tech-savvy with proficiency in Microsoft Office, Outlook, and other tools.Excellent written and verbal communication skills.Ability to thrive in a fast-paced, high-growth environment.Management Duties NoWe are an equal opportunity employer, and we are proud to share that 93% of our employees say they can be themselves at work.
