The Assistant Purchasing Manager will be working directly with the Purchasing Manager to ensure the supply chain of products from manufacturers to stores through the Pepes Approved Supplier network. They will also be responsible for additional projects on a weekly basis that ensure network compliance with Pepes food related systems.Responsibilities to Include:Supply and distributionoTake orders from Pepes Approved Suppliers and place these with Pepes approved manufacturers. Ensure all orders are tracked through from request to delivery.oEnsure invoices have been paid on all Supplier stock requests.oReview stock levels of Pepes Approved Suppliers on a weekly basis to ensure Pepes Approved Supplier are maintaining minimum stock levels and therefore ensuring products are always available for Pepes stores to order.oCreate weekly reports to demonstrate Pepes Approved Suppliers stock levels are holding above minimum holding levels.oDaily management of the Pepes Food Service email box.oAnalyse Pepes Approved Suppliers monthly sales reports.oCheck Pepes Approved Suppliers ordering portals to ensure only approved products shown.oCreate monthly reports to show stock levels and order requirements of all Pepes manufactured products.oPlace monthly orders for Pepes central depot with manufacturers of Pepes branded products, ensuring all orders are tracked through to delivery.oAnalyse weekly stock reports from Pepes central depot to ensure minimum stock levels at all times.oEnsure Pepes Approved Suppliers only supply approved ingredients to stores by reviewing sales and ordering portals on a weekly basis.oBuild a strong working relationship with Pepes Approved Suppliers including setting up and recording minutes of regularly monthly review meetings.oCommunicate any changes in store details to relevant suppliers and distributors.oManage the application and approval process of any store requests for supply of Pepes Approved Products. (chicken suppliers)oProcess any changes in store ownership, informing all stakeholders of any relevant changes.oAssist Pepes stores and Franchisees daily with any product or ingredient issues.Compliance and OperationsoQuarterly review of all Pepes Approved Products spec sheets to ensure no changes to allergen or nutritional information.oOversee and keep up to date software systems that track and support all Pepes Approved Product Nutritional and Allergen Information.oEnsure all Pepes recipes are up to date and stored on Pepes approved software systems.oAssist Area Managers with ensuring there is compliance with Pepes food related systems, processes, policies and all Food Safety and Health Safety requirements across stores. oEnsure stores only use Pepes approved products and ingredients.oMaintain and update the Pepes Approved Ingredients list for stores and Pepes Approved Suppliers.oResolve customer queries on technical enquiries related to allergens and nutritional information.oDraft all memos from Pepes Food Service that are sent to Franchisees.Team Cover oGeneral support as required to the Head Office Operational Team as required, which may include to cover annual leave, sickness and any other absence.
