Job Description

Sinclair Gibson is a boutique firm located in the heart of Londons legal centre which specialises in advising high net worth clients in connection with international and domestic tax and trust law matters, trust and probate litigation, and family law. The firm has ten partners who are supported by a team of highly experienced solicitors and administrative staff. Sinclair Gibson is currently recruiting a cheerful, enthusiastic individual to support all areas of the existing administrative and reception team. As there will be a client facing element to this role, it is essential that you are approachable and welcoming as well as organised and efficient with an ability to appear calm when under pressure. Experience in law is preferred but not essential. The firm is small and the candidate must have a can do attitude and a desire for a varied role on a day to day basis, providing cover to all administrative areas of the firm. The below details the sorts of duties that can be expected but is by no means an exhaustive list and other ad hoc duties may be assigned as required. Administrative/PA role: Advanced diary and meeting co-ordination Travel and Itinerary Planning Document management and filing (paper and electronic) Inbox and e-mail management Assisting with the Deeds and Wills database, to include updating an excel spreadsheet and placing original documents in the safes Assistance with the preparation of meeting packs Monthly/Quarterly billing preparation and production Updating client records, wills, deeds etc Typing correspondence, creating documents / forms etc Digital dictation Ad hoc projects. Front of house/reception role: Answering and transferring calls. Taking phone messages Arranging and setting up conference calls Coordinating board room bookings and allocating meeting rooms Meeting and greeting clients Setting up and clearing meeting rooms Washing crockery as necessary and restocking boardrooms Ordering and serving lunches Restocking catering supplies of refreshments for staff and clients Booking taxis and couriers Issuing internal security access cards to visitors/contractors. Assisting with building maintenance and external contractors. The successful candidate must have the following skills and qualifications: Education to GCSE level or equivalent which must include English language Well presented with good communication skills An excellent telephone manner with clear and precise diction in dealing with clients, professional contacts and colleagues A knowledge and basic competency in MS office applications. A team player with a can do attitude Ability to work with professional people with diverse personalities Organised and logical with an attention to detail Excellent time management and organisational skills A pro-active approach to work with an ability to show initiative An appreciation of deadlines with an ability to work under pressure. Experience with billing and dictation is preferred. Hours and place of work We are based at Lincolns Inn Fields close to Holborn tube station. The office is open from 8:30am to 6:30pm although there are often staff on site outside these hours. The working hours for this role are 9:00am 6:00pm. Salary and benefits The annual salary for this role will be 35,000 - 40,000 depending on your experience.
