Job Title: Facilities CoordinatorLocation: Birmingham, West Midlands, B4 6BNDuration: 1 YearHourly Rate: up to 23 (via Umbrella)Role Overview:We are seeking an experienced and proactive Facilities Coordinator to support the Facilities Manager in delivering high-quality facilities services for one or more managed properties. You will play a key role in ensuring smooth operations, maintaining high levels of customer service, and helping to manage both the day-to-day and strategic aspects of facilities management.This is an exciting opportunity for a motivated individual with prior facilities management experience to work on a growing site for a well-respected client.Key Responsibilities:Facilities & Property Management:Support the Facilities Manager (FM) in delivering client KPIs as outlined in the Property Management Agreement (PMA).Help implement operational initiatives focused on enhancing customer experience across the portfolio.Assist in the transition of properties into management and prepare for property sales, handling due diligence inquiries.Coordinate the day-to-day physical operation of buildings, acting as the main point of contact for occupiers.Manage service charge budgets, variance reporting, and reconciliation.Assist in the procurement of supplies and services, ensuring compliance with procurement program and framework agreements.Oversee contractors' performance and ensure adherence to agreed standards.Support health & safety and sustainability activities on site, ensuring compliance with all regulations.Communication & Stakeholder Management:Serve as the key liaison for occupiers, providing advice and support on operational matters.Maintain close communication with internal teams, including Client Relationship Directors, Contract Directors, and other Facilities Management colleagues.Compliance & Safety:Ensure health & safety procedures are followed, assisting with site inspections and ensuring safety standards are met.Ensure all contractor activities are appropriately managed through issuing work permits and site regulations.Typical Day in the Role:Hours: Monday to Friday, with standard working hours from 8:00 AM 4:00 PM or 9:00 AM 5:00 PM. Overtime may be required occasionally.Key Tasks: Day-to-day facilities management support, contractor management, liaising with occupiers, health & safety management, assisting with budgeting, procurement, and ensuring all procedures are followed.Stakeholder Interaction: Regular interaction with internal teams but limited direct client contact.Candidate Requirements:Must-Have Skills:Excellent customer service skills.Knowledge of health & safety regulations and procedures.Prior experience in facilities management (minimum of 2 years).Desirable Skills:IOSH certification is desirable.Strong computer literacy and ability to work with facilities management software.Confident, assertive, and able to work independently.Energetic and motivated, with the ability to thrive in a fast-paced environment.Good communication skills (fluent in English).This role provides a dynamic environment where you'll work closely with the facilities team to deliver quality service while gaining valuable experience in facilities management.
