Job Description The salary for this role is 31,100. Onsite working is expected for 3 days a week , however, we actively support requests for flexible working. This role is to be based at the following site; Culham, Oxfordshire. This role requires employees to complete an online Baseline Personnel Security Standard (BPSS), including The Disclosure & Barring Service (DBS) checks for criminal convictions and possibly a search of open source data. As IP Technical Co-ordinator , you will play a pivotal role in providing both technical and paralegal support and co-ordination services to the Innovation Division to support ongoing activities, which include working closely with other divisions, programmes, and external organisations to generate and identify novel technology solutions; protect UKAEA intellectual property and work on the development of these innovations. You will support the Intellectual Property Management Office (IPMO) in administering UKAEA IP protection processes, which includes liaising with inventors from different divisions and programmes and with external IP law firms and patent search firms to initiate and track the progress of applications and searches. You will work across complex projects within the UKAEA. You will also act as an advisor to project managers and innovation leads, specialising in IP management processes. In addition, you will be responsible for supporting and facilitating project activities liaising directly with Innovation leads and project managers to ensure delivery milestones. You will also support the development of an innovation pipeline and the UKAEA IP, which will include technical innovations that may arise from UKAEA staff, contracts, collaborations or elsewhere. Key Accountabilities: - Provide the paralegal services for the UKAEA including, but not limited to: preparing official forms for UK, EP patent and design applications; completing official documentation; preparing case reports; liaising with external IP law firms and patent search firms; supporting IPMO in handling general IP prosecution matters, including monitoring patent filing deadlines, ensuring required actions and documentation are complete and liaising with external patent law firms to ensure deadlines are met. - Be responsible for continuous improvement of all IP processes, including case management to log, monitor and report on the progress of IP protection activities and reporting. - Manage budget spreadsheets and provide IP forecasting to the Innovation Division Project Manager for all formal reporting and ad hoc information requests. - Manage the programme and project document management process including uploading to SharePoint and TDMS, formatting, attribute mapping, workflow tracking, distribution, and storage in the correct databases to allow work to be easily stored and retrieved. - Monitor IPMO inbox and act as a first point of contact for project and IP-related queries. - Be accountable for UKAEA Technical Notebook distribution and management of key documentation for IP management. - Support teams with procurement activities and produce technical reports, specifications and Tender Documentation with supervision. Act as a requisitioner/Responsible Officer within the Unit 4 business system. - Manage Technical Secretary duties for the Innovation Division including organising technical meetings and supporting the Chair in taking and distributing minutes and action follow up. - Provide Technical Coordinator support for ad-hoc tasks to ensure business, programme and project delivery. - Support planning and managing site visits from external visitors, including setting agendas with support. Qualifications Essential: - HNC/Apprentice or degree in a relevant subject area. - Paralegal qualification (CIPA/IPPC), or demonstrable progress towards the qualification. - Demonstrable experience in IP case management and IP prosecution support. - Demonstrable experience working in a complex technical environment. - IT literate, fluent in Microsoft Office, including Excel. - Excellent technical report writing skills. - Excellent interpersonal skills. - Excellent planning and organisational skills. - Excellent written and verbal communication skills - Well-organised and capable of managing deadlines and priorities. Desirable: - Good awareness of SharePoint management. - Experience in the management of purchasing and budget processes.
