The finance and operations administrator is a key role within The Security Institute team, reporting to the Finance & Operations Manager. The purpose of this role is to provide high quality support within the finance and operations department to assist with the smooth running of finance and all operational activities. You will be agile, capable of absorbing key information quickly and eciently and be condent in managing a wide ranging and uctuating workload.3.About youYou will be a self-driven and professional admin or business support officer who understands project management approaches and who can work within a highly confidential and fast pace setting.You will be agile, capable of absorbing key information quickly and eciently and be condent in managing a wide ranging and uctuating workload.4.Main duties and responsibilities (not necessarily in priority order)To provide finance support as agreed with your line manager.To manage the agreed email accounts To support taking payments from the membership database, and ensuring these profiles are updated across all databases To post income on to SAGE50, ensuring reconciliations are completed on membership subscriptions To raise invoices and receipts and communicate out to relevant parties To support in the operational administration supporting the Finance & Operations manager where required To manage the office stock levels of regalia and documents and ensure all levels are maintainedTo ensure all direct debits are set up to the correct plans and recorded on CRM systems efficientlyTo support Finance & Operations Manager and the internal bookkeeper to ensure all finance records are kept tidy and filed in the correct order To suggest improvements to any system or process that you encounterTo carry out HR support including recruitment, onboarding and HR policy updatingTo provide support to Finance & Operations Manager to keep documents updated To prepare and edit correspondence, communications, presentations, and other documents as required.To handle confidential information with discretion and to maintain strict confidentiality.To conduct research, compile data and prepare reports as required for the Chief ExecutiveTo review and maintain the quality of the information on our CRM.To ensure that records are maintained in the correct system (CRM/SharePoint) in accordance with our internal policies.To comply with data protection legislation and act responsibly on matters of data disclosure both internally and to third parties, maintaining the highest standards of confidentiality.To build positive working relationships both with internal colleagues and externally with stakeholdersTo represent the Institute in a professional manner and to act at all times in a manner which will not damage its reputation.This list is not exhaustive as highlights key areas of work.5.Essential CriteriaExperience in SAGE50 and business administrationAbility to manage sensitive information with confidentiality.Excellent phone etiquette and written and verbal communication skills. Experience of using a CRMHighly organised, with excellent attention to detailGood project and time management skills and able to manage multiple projects.Strong relationship-building and networking skills, able to represent The Institute in a positive and professional way.Good problem-solving skills and an ability to work independently and as part of a team.Ability to work positively in a high performing team.
