This is an exciting opportunity to be part of and help build a relatively new company, which whilst simultaneously supporting the clients we also actively seek to aid the development and wellbeing of staff.The role:Echo is looking for an Agents Assistant to join our passionate and close-knit team. Its a vital role supporting Agents across the business to ensure a positive Client experience and smooth running of projects. The right candidate is extremely dedicated, enjoys working with others, has excellent communication skills and unrivalled attention to detail. Theyll be proactive and a multi-tasker who can handle the pressure of a high paced and busy environment with a can do attitude. In return we offer training, support and exposure to the commercials, music videos, film & TV industry, as well as opportunities for learning and personal growth.Location: hybrid based, at our offices - De Beauvoir Block, London, N1 4ENHours: 9:30 AM to 6 PM with 1 hour lunch break, however there will be occasional times where hours may be longer (e.g. for screenings or award shows).Essential requirements:Previous experience in an Agents Assistant or Project Management role within the film industryExcellent organisational and project management skillsExperience of diary management, assisting and prioritising busy workloads for othersInnovative thinker with string problem solving skillsAbility to manage multiple projects and priorities simultaneouslyHighly motivated with a positive attitudeHigh level of accuracy and attention to detailQuick learner and driven to expand knowledgeExperience in building positive internal and external relationshipsConfident in using and managing Mac OS, software applications and cloud systems such as Google Workspace, Slack, CRM and project management toolsDesirable requirements:Previous experience as an Assistant at a Talent Agency or in the Entertainment industryPassionate about Commercials, Music Videos, Film and TV productionsResponsibilities Include:Agent SupportManage, sort and triage Agents inboxes in an efficient, timely and proactive mannerUnderstand Agents workload and help to support in management of priorities as well as with Admin tasksManage Agents calendar - organise meetings as necessary, ensure there are clear agendas/ objectives and any required prep is undertakenProject ManagementProvide coordination, monitoring, and updates on projectsMaintain effective records on projects in the system, reporting on progress and identification of blockers for AgentsSupport Agent in effective and timely communication between Producers and Clients across projects including various administration tasks (eg sending out scripts, updating on progress/ holds/ pencils etc, booking confirmations, drafting deal memos, and redlining contracts)Ensure awareness of all current projects and their impact on ClientsClient ManagementMaintain Clients calendar including scheduling meetings and updating them with project dates or details.Processing invoices in a timely manner, tracking client hours/days worked, inputting client expenses and other basic accounting tasks, chasing payments and resolving issues.Liaising cross departments (film/TV, commercials, accounts dept etc) to ensure the latest Client information is sharedSupport Agents in ensuring that Client CVs, web pages and other records are up to date and accurateEnsure awareness of all point Client activity and proactively flag opportunities for development as they arise.Attending awards, events, meetings, and screenings for ClientsResearching latest trends and looking for opportunities for new representationOther Duties required but not limited to:Be the first point of call alongside other Assistants for the company, both on the phone and in person, welcoming clients, visitors and vendors to the officeSupporting with events, travel and organisationSupport CEO with diary management, administrative tasks and other ad hoc support requestsWhat we offer:Salary dependent on experienceProfit share bonus based on company performance (after first financial year at Echo)25 days holiday plus Bank HolidaysPrivate Health Cover (after 1 year of employment)Optional 1 day per month to all employees to do voluntary workCycle to work schemeIf youre the right person for the job please email your CV and a covering letter to Sally at hr@echoartists.com with the subject line Agent Assistant Application.Due to the number of applicants, we will only be able to respond to successful candidates.
