26,000London, Aldgate (40% office based)The People Team Administrator plays a pivotal role in maintaining the smooth functioning of all aspects of the People Teams end-to-end accountabilities. This position is responsible for providing administrative support to the People Team with a variety of key administrative and coordination tasks.Reporting to the People Operations Manager, responsibilities include maintaining employee records, supporting the recruitment processes, assisting with onboarding new hires, and handling employee inquiries. It requires excellent organisational skills, attention to detail, and the ability to manage multiple priorities effectively.My Priorities what I will deliverGeneral Management of the People Team Inbox: Daily triage and follow up on enquiries from the organisation.Meeting & Event Support: Assist with the co-ordination and scheduling of Scheme wide events as required.HRNew Joiners: Set up files and load documentation to Cascade for new employees.Letters and Contracts: Prepare and distribute offer letters and employment contracts. Prepare, distribute and file all other ad-hoc letters, for example change in manager, passed probation or change to working hours.Employee Personal Files: Upload and update personal files to ensure accurate and up-to-date records.References: Obtain and verify references for candidates.HR Operations Purchase Orders (POs) and Goods Receipt: Manage the creation of purchase orders and ensure the receipt of goods is recorded on a timely basis.Financial Questionnaires Submissions: monitor the submission of financial questionnaires from employees and follow up as necessary.Organisation Charts: Monthly updates of organisation charts to reflect current structure.Reporting Support on the generation of reports for compliance on Hybrid Requirements, Objective Setting and L&D training.L&DLMS & L&D Reporting: Generate reports for Learning Management System (LMS) and Learning & Development (L&D) activities.External Training Letters: Prepare and send training letters once a month; manage training repayment agreements for external courses.External Partner: Raise quotes ad hoc and attend quarterly meetings with training providers.External Training support in gaining quotes and booking external training courses.Experience Onboarding: Coordinate induction sessions for new joiners.Support arranging Scheme wide events: coordinating dates and sending invites.Support Organisation Recognition Schemes: Coordinate and support the management of recognition programs such as annual awards, high fives, long service awards.My Knowledge what I need to knowOrganisational Skills:Ability to manage multiple tasks and prioritise effectively.Strong attention to detail and accuracy in administrative tasks.Communication Skills:Excellent written and verbal communication abilities.Ability to interact professionally with employees at all levels.Technical Proficiency:Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Experience with HR software (e.g., Cascade) and Learning Management Systems (LMS) is highly desirable.Interpersonal Skills:Strong interpersonal skills and the ability to work collaboratively in a team environment.Ability to handle sensitive and confidential information with discretion.Problem-Solving Abilities:Resourceful and proactive in identifying issues and finding solutions.Ability to anticipate needs and take initiative.Time Management:Efficient time management skills to handle a variety of tasks.Ability to meet deadlines and manage competing priorities.Customer Service Orientation:Focused on providing excellent service to internal and external stakeholders.Responsive to requests and inquiries with a positive attitude.Adaptability:Flexibility to adapt to changing priorities and work environments.Ability to manage and embrace change effectively.Pontoon Solutions is an employment consultancy.
