Job Title: Service Delivery Administrator Reports to: Customer Service and Logistics Director Direct Reports: None Location: Ledbury Hours - 37 hours per week. Onsite full time for training. Opportunity to work on a hybrid basis once full training is completed Exp. Start Date - ASAP SOW Duration - 3 months initially Rate - 14.80 per hour PAYE Screening: DBS check, referencing Purpose of the Role: The Service Delivery Administrator will support the administration of the Service Delivery team. The role involves managing customer orders and collection requests for Short Term Rentals. Success means becoming an expert in operational delivery and ensuring seamless service. The role also requires contributing to internal processes and systems while maintaining strong customer relationships. Key Responsibilities: Sales & Sales Support Process inbound requests for customer deliveries, orders, and collections. Proactively convert enquiries and requests into confirmed orders and collections. Balance and prioritise workload in a fast-paced environment. Assist with mailshot creation and distribution. Provide support for customer account queries and answer phone calls. Arrange deliveries with third-party hauliers. Report and provide management information for Senior Management Team. Attend trade shows and industry events as required. Business Support Create customer orders and collections using planning tools like Vloot. Support the Service Delivery team with operational tasks. Communicate and distribute changes within the Service Delivery Team. Assist with coaching on new or changed processes. Help with the administration of new business. Manage enquiries and orders on Vloot. Collate information for reporting purposes. Provide support for container returns. Participate in system changes as required. Customer Service Be the first point of contact for clients via phone, email, or in person. Ensure prompt and professional answering of calls. Liaise with clients and suppliers to ensure timely delivery of assets. Respond to queries about the product range and services. Keep clients informed and updated on their orders. Manage client relationships and provide direct client liaison. Build strong working relationships with third-party hauliers. General Administration Update Vloot and service delivery planning with all client-related data (enquiries, orders, collections, etc.). Collate information for reporting purposes. Support the Business Support Team, Sales Team, Service Delivery Team, and Logistics Manager with additional tasks. Planning and Organising Effectively plan and organise time to maximise productivity and efficiency. Occasional travel to other sites, client sites, or events. Systems Be proficient with CRM systems and other tools required for the role, adhering to operating policies and procedures. Risk & Compliance Ensure that all governance and compliance requirements are met. Carry out reporting and review activities in line with regulatory standards. Health & Safety Adhere to health and safety guidelines to ensure the safety of oneself and others. Skills & Experience Essential: Highly organised and attentive to detail. Ability to prioritise workload and meet deadlines. Strong interpersonal and communication skills. Team player with excellent written and verbal communication skills. Numerate with analytical ability. Practical problem-solving ability. Proficient in computer systems, including CRM tools. Ability to multi-task effectively. Desirable: A solid understanding of financial systems. Previous experience in a business-to-business environment. Education & Qualifications Essential: GCSE Level Mathematics and English. Desirable: Previous knowledge and experience in the Financial Services industry. Experience in a business-to-business environment.
