Job descriptionLuxury Watch Office Admin ManagerJob Purpose:Our Office Admin Manager Ensures the proper flow of office procedures and supports the business by carrying out all administrative office duties. This individual is the first point of contact at our headquarters in Belfast and responsible for ensuring we deliver a exceptional client experience.Your responsibilities will include but will not be limited to:Reports to the Managing DirectorManage and communicate our distribution and collection services with courier partners, UPS/RM/FedEx/DHL etc. Updating tracking info to clients and ensuring they are packaged and sent out efficiently worldwideRecords updated daily and reports createdCommunicates with relevant clients / business partners to update and organise repairs, services, shipping, orders and enquiriesArranges meetings by scheduling appropriate meeting times, booking rooms, and planning refreshmentsManages correspondence by answering emails and sorting mailDrafts, formats, and prints relevant documentsCreates agendas and takes meeting notesStorage and security of all confidential data and ensure GDPR practices are followedInventory and website updates as and when required. Liase with brand partners on orders etcAdhering to company policies at all timesContinually striving for self-improvement and forward suggestions to improve the efficiency of the services providedDeliver an exceptional customer experience through all channels including email, telephone, social channels and face-to-faceEnsuring quality housekeeping and efficient set up in office for the team and clientsCandidate Skills and QualificationsStrong Attention to DetailProactive and ability to Work Without SupervisionExcellent Time Management SkillsExceptional Communication and Customer Service SkillsTechnical SkillsIncluding Proficiency With Microsoft Office ProgramsStrong Prioritisation and Organisation SkillsReliable and Trustworthy.
