This hybrid role offers an exciting opportunity to contribute to the efficient operation of the business while working in a fast-paced and supportive environment.Role Overview:The Administrative Assistant will play a key role in ensuring the smooth operation of business processes, coordinating team activities, and managing essential administrative functions. This position requires strong organisational skills, attention to detail, and the ability to manage multiple priorities effectively.Key Responsibilities:Business Administration & OrganisationMaintain and update company records, databases, and documentation to ensure accurate and accessible information.Assist in coordinating team schedules, meetings, and deadlines to ensure smooth workflow.Liaise with clients, suppliers, and internal teams to ensure efficient communication and task completion.Format and proofread proposals, reports, and other key documents to maintain a high professional standard.Financial & Invoice ManagementTrack and process invoices in collaboration with the Finance Team, ensuring timely payments and accurate records.Maintain financial documentation and assist in budget tracking for ongoing projects.Project Coordination & Team SupportSupport project management by keeping track of key deliverables, deadlines, and team responsibilities.Organise and update live project details, ensuring clear documentation of progress and next steps.Provide logistical and administrative support for internal and client meetings, including scheduling, preparing materials, and taking minutes when required.Assist with onboarding new team members by ensuring they have access to relevant systems and resources.Key Skills & Qualifications:A Levels or equivalent essential; a higher-level apprenticeship or degree is desirable.Previous experience in an administrative, business operations, or team coordination role.Strong organisational and time-management skills with the ability to manage multiple tasks.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with project management tools (e.g., Basecamp, Trello, or Asana).Experience with CRM systems, preferably Pipedrive, is a plus.High attention to detail and ability to proofread and format documents professionally.A proactive and solution-focused approach to problem-solving.Preferred Experience:Previous experience supporting teams in a business administration or coordination role.Experience handling financial administration, such as invoice processing and budget tracking.Familiarity with database management and document control.What We Offer:A chance to work with a passionate and driven team in a dynamic environment.Opportunities for professional development and training.Flexible hybrid working arrangements.Competitive salary and benefits package.Free onsite parking.How to Apply:If this role sounds like a great fit, please send your CV and a cover letter detailing your relevant experience and explaining why youre interested in the position to hello@absolutely.health.
