Job Description

Purpose of the PositionReporting to the HR Business Partner, EMEA; as Human Resources Administrator, EMEA you will be responsible for supporting the administrative functions of the Human Resources Department, and for supporting the Human Resources Business Partners to deliver a complete generalist HR service to stakeholders both within EMEA and within our Corporate functions based in the US. These services include (but are not limited to) document drafting, contract administration, policy renewal, flexible working requests, filing, minute taking, responding to general HR queries, diary and travel management and meeting management.Key ResponsibilitiesOnboardingValidate New hire approvals / contract request documentation provided by KF Hire / iRPO to ensure complete data has been received, and accurate data has been submitted (both internal SAP assignment data and candidate personal data)Act as the key point of liaison between HR Operations Team and KF Hire and iRPO on all new hire queriesRespond to candidate queries relating to their new hire documentation, escalating such to the HR Advisor, EMEA where appropriateChase new hire/ onboarding documentation not provided by candidatesCreation of employee personnel files and document maintenanceLead the onboarding induction program run bi-monthly across the UK&I and manage the undertaking of day 1 Right to Work checks for all new hires on or before first date of employmentCollate and issue monthly HR payroll data for new joiners to the EMEA Payroll Team.Generalist HR ActivitiesAct as a HCM & PSCF Initiator for the EMEA regionResponding to requests received into the shared HR mailboxes from external third parties, in a timely mannerResponding to all generalist queries received via the AskHR platform, and escalation of queries where relevant to a more senior member of the Human Resources TeamSupporting Human Resources Business Partners by means of minute taking at formal meetings, including (but not limited to) Employee Grievance Meetings Employee Disciplinary Meetings Performance Management Meetings Flexible Working MeetingSupport the Director Human Resources, EMEA and any appointed external legal Counsel in the collating of evidence and presentation of the Company defence at any legal hearings that might be issued within EMEAInvoice administration relating to HR related activity Provide administrative support to the new joiner HR Inductions across the UK & Ireland ProcessPayrollMaintain all relevant payroll trackers with variable changes to monthly payroll, as a result of generalist HR activityEnsure relevant documentation is shared with the payroll Team, to support any payroll activity in any given monthHRIS & Data Administration Regularly work with the HRIS team to review and audit data, flag issues and process corrections as neededRegularly work with payroll and global corporate HRIS team to research issues, look for root causes, escalate concerns and identify solutions Compliance & Policies Regularly monitor and audit HR files to maintain compliance with Korn Ferry policies and procedures.Handle highly confidential information maintaining strict rules of confidentiality at all timesMonitor and manage the auditing of HR related documents on the HR systems.Talent ManagementSupport the delivery of any HR Training sessions run across EMEA.Support the development of issue specific training sessions or Knowledge Articles as required across EMEA.Champion of the Companys values and vision, so as to ensure everyone is working towards the same objectives and behavioural expectations.The CandidateExperience and Professional QualificationsEducated to degree level or aboveCIPD (Level 3) qualified or abovePrior experience in a generalist Human Resources administrative roleSkills and CompetenciesExcellent attention to detailAbility to identify problems and provide solutionsExcellent interpersonal and communication skills (both verbal and written)High client-service orientation Situational adaptabilityCultural adaptabilityCommunication and community building at all levelsAbility to work in a highly fast-paced environment with constantly changing priorities
