OverviewThe Executive Personal Assistant will be responsible for a broad variety of personal and administrative tasks. This role involves managing personal and professional engagements, creating organizational solutions for files and records, planning events, and managing a personal residence. This role requires a high level of discretion, adaptability, and excellent communication skills.Who Youll Work WithThis is a role that reports directly to the CEO. You will also liaise with personal and professional contacts, often high-profile and involving sensitive information. This will include lawyers, investors, founders, CEOs, bookkeepers, friends, and family.ResponsibilitiesScheduling and calendar management, handling correspondence with personal and professional contacts.Booking of restaurants, entertainment, and events.Day-to-day errands and situational requests including shopping, online returns, and shipping packages.Occasionally accompany CEO in meetings and on travel.Act as go-to resource for the CEO, available throughout the work day and occasional off-hours as needed.Create organizational solutions for computer files; business, financial and household records.Maintain personal residence; schedule vendors, oversee repairs, and approve bill payments.Care for 3 tiny poodles, including walking, vet appointments, and grooming.Be available some weekends.Liaise with internal and external stakeholders across two companiesSocial media supportMeeting and event planning including on-site logistics for intimate dinner parties, casual gatherings, and large formal affairs. Coordinate with vendors to ensure alignment with client specifications and seamless execution of events.Manage personal thank-yous, gift buying, wrapping, and shipping.Manage personal and professional rolodex.Conduct research as necessary.QualificationsBe discrete and trustworthy: you will often be party of confidential information.Resourceful, ability to work independently, finding solutions with sometimes limited information.Ability to manage up to keep a busy executive on time and focused on priorities.Excellent written and verbal communication skills.Proficiency with online communication and scheduling tools.Ability to coordinate projects and keep track of details.Software savvy - must be proficient with G Suite, Zoom, and Instagram. We also use Notion, Canva, Chat GPT, ToDoist, and other similar software.Be flexible, dependable, and adaptable.Possess excellent oral and written communication skills.Exhibit strong organizational skills and the ability to multitask, letting no task or text go ignored.Have the ability to be proactive and take the initiative.Lead with tact and diplomacy.Live within Central London (role is on-site in Notting Hill)
