The opportunityZodiac Maritime has embarked on a digital transformation programme. The scope of the programme touches most parts of the business. We are actively searching for a PMO Co-ordinator, to work five days a week at our London office, to support the deployment phase of the Maintenance Management System (MMS) project as it prepares both vessels and seafarers to go-live with the new systems and processes. This new role will require the role holder with a strong appreciation of the project management delivery cycle who is able to co-ordinate, monitor and report key rollout deliveries. But has the flexibility to adapt where a pragmatic approach is appropriate or where non-standard methods are present.This role will suit a proactive individual who is comfortable opening dialogue with stakeholders across all levels and has a coercive but supportive approach to ensuring tasks are met.Overview of the positionPrepare, co-ordinate, maintain and report using ADO (Azure DevOps) and MS-office suite, the following key activities:Track the progress and task progression of each stage of a vessel's rollout.Work with the project team to continually determine vessel rollout sequences.Working with the business to identify the crew changes occurring for all vessels in the full fleet rollout.Working with the business to track and monitor vessel itineraries to identify next vessels to start the go-live processes.Liaise with 3rd party suppliers and the business to get technical resources onboard and off identified vessels.Co-ordinate the crew scheduling for training to match the crew training process.Provide crew training prioritisations in accordance with vessels rollout task progressions.Distribute crew training material and attendance correspondence.Chase, monitor and log attendance for crew training.Co-ordinate any defects raised with regards to the rollout or the system.Report progress with regards to rollout, (Azure DevOps) this includes monitoring the health of the key activities maintained in DevOps via Dashboards and queries.Maintaining governance arrangements for the delivery of the full fleet rollouts key activities.Administration of tools supporting the delivery of the rollout. Including Azure DevOps, SharePoint, and the MS Office Suite.Provide appropriate document and information management on behalf of the project; ensuring project folders are kept tidy and well structured, with a document register for key items maintained throughout the full fleet rollout.Liaise and supporting other team members across the project, to deliver the projects objectives.Identifying and monitoring project risks (threats and opportunities), planning and implementing responses to them and responding to other issues that affect the project.Skills & experience requiredWe are looking for a PMO Co-ordinator with multiple years experience of working in a PMO or on structured roll-out projects. With excellent time and task management and strong communication skills at multiple levels. IT literate, particularly the MS Office Suite.Solid understanding of software rollout projects (or similar).Experience of co-ordination of multiple task sets, bringing together and co-ordination between them.Working knowledge of project Management methodologies and tools (non-specific).Experience of managing and implementing project control mechanisms in a project environment.Good MS Excel skills including formulae building.Exceptional communication skills, both written (inc reporting) and verbal across all levelsStrong time management skills yours and of other.Excellent organisational skills including planning and forecasting.Hands on delivery focused. Will chase down the line items on the plan and get things doneProactive and a quick learner with a proven ability to use initiative.Desirable: A minimum of 12 months in-depth use of Azure DevOps.
