This new longterm partnership, National Portrait Gallery Unframed, will launch with, Stories Brought to Life, exploring the lives of people featured in the collection who have shaped the UKs history and culture, from the Tudor period to the present day. Premiering at MediaCity, Salford, Greater Manchester in May 2025, the tour will extend both nationally and internationally. THE ROLETitle: Head of Touring Operations Reports to: General Manager - Touring Direct Reports: Duty Manager NPG Unframed (on site role) Nature of role: Full Time Location: Based in the Frameless Creative office, London Start Date: (ideal) 1 st May 2025 Salary: CompetitivePosition Summary The Head of Touring Operations will lead on the operational delivery of touring experiences, ensuring timely, safe, and on-specification and on-budget operational delivery. This will include venue sourcing and negotiation, key stakeholder management including partners, rights holders, venues, councils and internal team members, the sourcing and management of suppliers, drafting and compilation of event safety documentation, oversight and management of the safe and efficient on site delivery of venue builds and derigs, as well as line management of the Duty Manager who will be responsible for the day-to-day operational delivery of the event(s) once live and open to the public. The experience will visit several overseas cities, and the Head of Operations will be expected to work with chosen overseas promoters and venues to ensure the experience delivers a world class visitor experience. Building and maintaining positive relationships with key stakeholders is essential as is a sound business knowledge and commercial acumen. Whilst the initial focus of this role is National Portrait Gallery Unframed the Touring team will be securing new opportunities across the culture sector that the Head of Operations will work on including involvement in business case and budget creation Responsible for: Operational Event Planning & Execution: Oversee all aspects of operational event planning, ensuring seamless execution of each event within the tour. Develop and manage detailed project plans, timelines, and deliverables, ensuring all milestones are met. Lead the coordination of the onsite build and derig of temporary demountable structures, ensuring efficient and safe setup and takedown. Budget Management: Assist in the preparation and management of budgets for each event, ensuring all financial aspects are meticulously tracked and reported. Lead on supplier sourcing, negotiation and management throughout the tour Identify cost-saving opportunities without compromising on the quality and impact of the events. Event Safety Management: Write comprehensive event safety management plans to ensure the safety and well-being of all visitors and staff. Collaborate with Safety Advisory Groups, Blue Light Services, Councils, and other relevant parties to secure necessary safety certifications and approvals.Supplier & Stakeholder Management: Serve as the primary point of contact for all suppliers, negotiating contracts and ensuring timely delivery of services and materials. Build and maintain strong relationships with key stakeholders, including venues, councils, suppliers, and National Portrait Gallery staff. Act as the first point of escalation for the Duty Manager during events, addressing any issues promptly and effectively. Interior Design & Aesthetic Oversight: Aid in the interior design of event spaces, ensuring the aesthetic and functional alignment with the Stories - Brought to Life theme. Work closely with designers and decorators to create immersive and visually stunning environments. Venue Sourcing & Negotiation: Identify and source subsequent venues for the tour, negotiating favourable commercial terms and agreements. Ensure each venue meets the logistical and operational requirements for hosting the immersive tour. Planning Applications & Liaison: Submit planning applications and liaise with planning consultants, councils, and other regulatory bodies. Ensure events open on time and with all necessary permits and approvals are obtained in a timely manner. Experience: A minimum of five years of operational experience in delivering a broad range of first-class experiences, with some specific experience in ticket-based visitor attractions Essential Pre-requisites: Creativity and a flair for premium-positioned design applications Outstanding attention to detail and excellent spelling Experience in managing events and teams and understands the need to manage and meet deadlines Experience in event production and the building of temporary demountable structures Project planning & implementation Strong relationship and stakeholder management capabilities Good negotiation skills Financially literate Excellent presentation skills (written and oral) Well organised with attention to detail, and a desire for excellence Experience of ticketed attractions and events operationsUnderstanding of public facing front of house operations with a reliance on hourly paid, casual staff Experience in Health & Safety Management and an in-depth knowledge of event safety regulations; should hold relevant health and safety certificates (e.g. IOSH)Desirable Experience of working internationally Event merchandise / retail experience Experience of event hospitality delivery A passion for the entertainment industry and the arts Company Behaviours: Strive for excellence Team player Well-presented Professional Hard working Positive Dynamic Punctual Can-do attitude Pro Active Efficient Knowledgeable (in your area of expertise) FriendlyFrameless Touring Ltd. is an equal opportunities employer and all applicants meeting the criteria for a role are encouraged to apply.
