THE ROLEAs Payroll Supervisor, you will support the Head of Crew Services in their daily responsibilities. You will work within the Crew Management Team, collaborating with the Crew Managers (London and Monaco), the Crew Recruitment Team (London/Palma), and other internal teams, including Accounts, Yacht Management Assistants (YMAs), Yacht Managers (YMs), crewmembers, and Burgess Crew Services (Guernsey) IC Ltd (BCS).Your primary responsibility will be to ensure efficient and accurate payroll processes for the crew employed on Burgess managed yachts.Key Duties and ResponsibilitiesPayroll AdministrationMonthly Payroll Management:Act as the primary liaison between the Burgess Yacht Management team and BCS, ensuring crew are paid accurately and on time each month.Serve as the first point of contact for payroll-related inquiries, coordinating and resolving issues promptly.Circulate monthly payroll deadlines and updated funds/allocation sheets for all BCS payroll yachts.Oversee and close payroll processes on BM (when Yacht Managers are on leave), enabling BCS to process invoices and salaries.Prompt YMAs to close out outstanding or unreleased salaries based on reports from BCS.Work with YMs to ensure payroll funds are available on time.Verify BCS invoices and assist with any necessary adjustments.Process Improvement and Training:Develop and implement payroll software solutions, preparing processes and procedures to enhance efficiency.Provide training to relevant personnel on payroll systems and processes.Gratuities and Queries:Address and assist with gratuity-related questions, working to resolve issues from crew or other Burgess departments.Maintain a log of payroll issues, monitor their status, and ensure agreed corrective actions are implemented with BCS senior personnel.Payslips and Reporting:Ensure BCS issues payslip letters to crew and handle any related queries.Produce regular payroll-related reports, including monthly salary averages, crew numbers, and ad hoc reports as required.Social Security ManagementFrench Social Security (ENIM): -Assist BCS with crew enrolment, contribution queries, and termination notifications. -Maintain accurate logs of contributions and verify them against BCS records and invoices. -Run monthly French residency reports and manage any newly identified French-resident crew. -Keep ENIM-related template letters updated and escalate legal issues to Crew Managers.Malta Social Security: -Liaise with Maltese payroll providers regarding crew contributions. -Support YMAs in ensuring payroll compliance for Malta-flagged yachts. -Maintain and update relevant template letters.UK National Insurance (NI): -Assist with payroll compliance for UK and Isle of Man flagged yachts. -Ensure template letters are accurate and up to date.Additional Responsibilities:Provide holiday cover for the Crew Team and YMAs as required.Participate in relevant social media campaigns as a member of the Crew Team.Support any additional tasks reasonably requested by management.Person SpecificationEssential Qualifications and AttributesDemonstrated interest in payroll and human resources.Ability to work independently, take initiative, and function effectively as part of a team.Proficiency in Microsoft 365 at an intermediate level or higher.Excellent written and spoken English, with strong numeracy skills.Exceptional attention to detail and a conscientious approach to recording and managing information.Adaptability in communication style to suit different audiences and topics, with a tactful and fair demeanor.Strong organisational skills and the ability to manage multiple tasks simultaneously.A creative mindset and a willingness to propose new solutions.A good sense of humor and a positive attitude.A commitment to continuous learning and professional development.Desirable Qualifications and ExperienceRelevant qualifications such as CIPP (Chartered Institute of Payroll Professionals) or CIPD (Chartered Institute of Personnel and Development).Previous experience as yacht crew or within the yachting industry.Experience working with ultra-high-net-worth individuals (UHNWI).Additional InformationNo prior knowledge of yachting is required, though an understanding of the industry or previous experience in similar roles would be advantageous.This role is ideal for candidates who are passionate about payroll management and human resources, with a focus on precision and innovation in a fast-paced and dynamic environment.
