The RoleTo oversee the daily operations and workflows within designated legal departments, ensuring exceptional support for fee earners. Key ResponsibilitiesIn addition to standard Personal Assistant duties, and in alignment with our policies and procedures, your key responsibilities will include: Management: Allocate Personal Assistants (PAs) to fee earners upon joining and upon trainee solicitor seat rotations / qualification; Supervise PAs and Team Administrators (TAs), focusing on service delivery and excellence. Build and maintain relationships with fee earners to ensure effective management and administration within the group. Optimise staffing resources to maximise team efficiency. Manage absences and monitor timekeeping. Monitor PA and TA performance to ensure competency and skill development. Oversee the performance and quality of output of your direct team, escalating issues to the Head of Human Resources as needed. Enhance service levels provided by PAs and TAs, acting as a coach to support staff development and success. Motivate, advise, provide feedback, and offer strategic direction to PAs and TAs. Conduct one-to-one meetings to gather feedback, set objectives, and ensure service levels are met. Conduct performance appraisals for staff within your area of responsibility. Assist the Head of Human Resources with the annual salary review for PAs and TAs. Participate in interviews for new PAs and TAs. Ensure adequate team coverage at all times. Foster a collaborative environment where PAs and TAs work collectively. Collaborate with other Team Leaders to ensure cross-practice coverage and service delivery. Participate in the induction of new staff. Communicate management messages accurately and positively, supporting the firms values and policies. Perform any other ad hoc duties as reasonably requested. Key Skills & Experience RequiredIn addition to Personal Assistant skills and experience, the ideal candidate will have: Previous supervisory experience (preferred). Experience in a client service/professional services environment. A professional demeanor. Excellent interpersonal skills. Strong performance management abilities. The ability to lead by example. A strong customer focus. Experience in building and maintaining client relationships. A flexible and proactive approach, with a can do attitude.
