About the Role Were seeking an experienced Executive Assistant (EA) to provide top-tier administrative support to our owner and the MD of Galeta Bakery. In this pivotal role, youll manage cross-departmental communications, organise schedules, and ensure the executives day-to-day operations are seamless. Your responsibilities will include handling diary and email inboxes, incoming enquiries, scheduling meetings and taking minutes, arranging travel, and preparing and maintaining documentation. You will also be involved in supporting the owners with his other businesses. Responsibilities Act as point of contact for the owner and MD with internal and external employees/stakeholders/clients. Monitor and manage inboxes, prioritising and flagging emails as appropriate. Manage diaries, schedule meetings and appointments, prepare necessary documentations and provide reminders. Book and manage travel arrangements. Support all departments in administrative and operational aspects of the business as required. Set up team days and support with catering. Maintain an overview of the whole organisations workings and proactively jump in to assist or challenge. Create and manage all support systems that enhance business effectiveness e.g. shared filing systems, calendars, databases, CRM, Slack, Google Docs etc. Produce reports, presentations, and briefs as needed. Requirements and skills At least 5 years of experience as an Executive Assistant to a senior executive/multiple executives. A genuine enthusiasm for the EA/PA role. Comprehensive understanding of office management systems and applications. Exceptional planning and time management skills. Excellent verbal and written communication skills.
