We are seeking a highly organised and proactive Office Manager & Executive Assistant to manage our London Office, support the London TEAM, and provide Executive Administration support to the Managing Director of Funding for EMEA. This role is critical to ensuring smooth office operations and a productive workspace. With approximately 60% of the role focused on office management and 40% on executive and TEAM support, this position is ideal for an individual who excels in both organisational and administrative capacities. The position is based in our London office and requires on-site attendance during core business hours four days per week (Monday through Thursday). Office Management Manage the daily operations of the London office, ensuring it is well-maintained and fully stocked with necessary supplies and equipment. Act as the main point of contact for building management, handling issues related to facilities, security, and access. Coordinate office supplies, snacks and the touches that make an office fantastic to work in, inventory, managing relationships with suppliers and ensuring cost-effective purchasing. Oversee vendor relationships, including cleaning, IT support, and maintenance services, ensuring the office environment meets high standards. Organise and facilitate TEAM events, client meetings, and other on-site activities to foster a positive office culture. Manage health and safety compliance and procedures, keeping accurate records and ensuring the office is a safe working environment. Executive Administrative Support to the Managing Director of Funding for EMEA Provide administrative support to the Managing Director, including complex diary management, travel arrangements, and email correspondence. Prepare and organise meeting agendas, presentations, and reports, ensuring all materials are accurate and up to date. Occasional opportunities to travel abroad to other PrimeRevenue offices. Take minutes during meetings, track action items, and facilitate follow-ups to ensure smooth workflow. Handle confidential information with utmost discretion and professionalism, ensuring trust and reliability in all matters. London TEAM Support Assist the wider TEAM by scheduling office meetings, organising events, and handling ad hoc requests. Coordinate internal communications, updates, and project tracking to enhance TEAM cohesion and information sharing. Act as a central contact for external stakeholders, ensuring a seamless flow of information and maintaining high standards of professionalism. Qualifications Proven experience as an Executive Assistant, Office Manager, or in a similar role, ideally within a professional services or corporate environment. Strong organisational, multitasking, and time-management abilities. Independent and proactive, capable of self-managing and taking initiative. Available to work four days a week in our London office, with flexibility for additional hours if needed. Knowledgeable in handling day-to-day office operations, with a keen sense of organisation and cost management. Able to juggle multiple tasks, prioritise effectively, and maintain a smooth, efficient work environment. Excellent written and verbal communication skills, confident in interacting with both internal TEAMs and external partners. A resourceful problem-solver who can anticipate office and executive needs, adapting swiftly to changing priorities. Approachable, collaborative, and dedicated to supporting TEAMs success and fostering a cohesive office culture.
