We have an exciting new opportunity to join our team in the role of Personal Assistant, to provide effective administration, coordination, and organisational support to our Senior Leadership Team.Responsibilities for this role:Acting as the point of contact for the SLT, employees and other external partiesLiaise with external parties/business guestsLiaise with other employees on behalf of Senior Leadership Team (SLT) membersInformation coordination and flow in a timely and accurate mannerOutlook inbox coordinationMaintain electronic filing system, ensuring processes and software are up to date and in working orderPurchase order and invoicing processing for the SLTKeep up to date records of seating plansTime tracker coordination, ensuring data help is up to date and accurateMeeting room management (for the Technical office & Executive suites)Organise catering as required with the on-site catering teamSupport effective financial record keeping for the SLT, including expenses processing and credit card statements.Managing executives calendars and set up meetingsEffective diary management for the SLT, including organising and scheduling meetingsEffective Race event scheduling, ensuing the Team Principal is fully briefedLiaise with the Travel department on business travel arrangements, including flights, transportation and accommodationOrganise off-site meetings (including, confidential meetings, team building activities, away days)Support the executives to conduct effective meetingsPrepare meeting agendas, perform research, and take minutes during meetingsProduce meeting notes and action lists in a timely mannerFollow up action lists in advance of subsequent meetingsProduce reports and presentations as requiredSupport SLT members with preparations for on-boarding new employee members, employee reviews and 1:1s.Proactively work with the SLT to support them in their administrative tasks.Solve simple IT problems and contact the IT department when necessaryCompany car management for AMF1 in conjunction with the Partnership TeamMaintain a strong working relationship with other relevant departmentsSupport the preparation of functional reports for the weekly SLT meeting (KPIs and targets).Complete personal errands and personal organisation as requiredKey skills:Ability to multitask and prioritise tasksExcellent time management skillsWell-developed organisational skillsHighly proficient with MS Office (Word, Excel, Outlook, PowerPoint)Attention to detailGreat verbal and written communication skillsProfessional discretionBe enthusiastic and versatile and be able to build, develop and maintain good working relationships with colleaguesAbility to demonstrate a clear understanding of and commitment to Health & SafetyEmbark on a journey with the Aston Martin Aramco Formula One Team to reshape history at our cutting-edge, sustainable campus in Northamptonshire.
