About the RoleWe are looking for a highly organized and proactive Facilities & Administration Manager to oversee day-to-day facility operations and general administration for our Gurgaon office. This role requires strong experience in managing workplace infrastructure, vendor relationships, administrative functions, and office services in a fast-paced, dynamic environment—ideally within an IT or engineering firm.Key ResponsibilitiesFacilities Management:Manage end-to-end office infrastructure, utilities, and upkeep of premisesEnsure smooth day-to-day functioning of office facilities including seating, meeting rooms, pantry, security, housekeeping, and maintenanceOversee AMC contracts and liaise with external vendors for services and repairsHandle space planning, workstation setup, and expansions as neededAdministration:Manage office administration including procurement of office supplies, assets, and IT peripherals in coordination with procurement and IT teamsMonitor adherence to workplace policies, safety norms, and complianceCoordinate with HR for onboarding logistics, employee events, and engagement activitiesManage travel bookings, hotel arrangements, and company transport (if applicable)Vendor & Budget Management:Identify, negotiate, and manage vendors for office maintenance, cafeteria, housekeeping, and securityEnsure cost-effectiveness and timely delivery of servicesMaintain records and budgets related to admin and facility spendEmployee Experience:Ensure a clean, secure, and productive working environmentServe as the go-to person for any facility-related queries or issuesSupport leadership and teams for administrative needs related to internal and external meetingsDesired Candidate Profile8–12 years of relevant experience in office administration and facilities managementPreferably from IT, engineering, or global technology companiesExcellent communication and coordination skillsStrong vendor management and negotiation experienceAbility to multitask and handle high-pressure situationsProficient in MS Office and facility management systems/toolsGraduate/Postgraduate in Business Administration, Facilities Management, or related field
