Job Title: Sourcing Manager & Coordinator – HAY Location:Surat (with travel as needed) Department:Sourcing & Production Reports to:Founders / Head of OperationsAbout HAY! As we expand, we’re looking for aSourcing Manager & Coordinatorto lead sourcing operations and manage vendor and factory coordination — based out of Surat.Your Role As theSourcing Manager & Coordinator , you’ll play a dual role: owning sourcing strategy while actively managing day-to-day vendor and factory coordination. From sourcing fabrics and trims to handling FOB orders and ensuring timely production and dispatch, you’ll ensure everything runs like clockwork — with quality, timelines, and cost-efficiency top of mind.What You’ll DoFabric & Trim Sourcing Identify and procure fabrics, trims, and raw materials aligned with HAY’s seasonal design direction. Coordinate with digital printers to manage print orders from file submission to final output. Research new materials, vendors, and innovations in the Surat sourcing ecosystem.Vendor & Supplier Management Build and maintain strong relationships with fabric mills, printers, and manufacturing units. Negotiate pricing, lead times, MOQs, and terms, while maintaining quality benchmarks. Conduct regular factory/vendor visits and performance reviews.FOB Order Coordination Manage FOB orders with multiple factories — from fabric inwards to final dispatch. Track T&A (Time & Action) calendars and production timelines. Ensure timely communication of approvals, delays, and dispatch updates to internal teams.Production & Sampling Support Coordinate with design and merchandising teams for sampling, material readiness, and execution. Follow up on sample development, fabric testing, and garment approvals.Reporting & Documentation Maintain up-to-date Excel trackers for sourcing, purchase orders, WIP, and factory status. Share weekly reports on order progress, timelines, and vendor performance.Key Traits We’re Looking For ✅ Deep understanding of fabrics, trims, and digital printing ✅ Prior experience managing FOB production orders with multiple factories ✅ Excellent inExcel– comfortable with order tracking, costing sheets, and WIP logs ✅ Strong in negotiation, vendor communication, and time management ✅ Detail-oriented, organized, and proactive with follow-ups ✅ Based in or familiar with the Surat textile/manufacturing network ✅ Passionate about fashion production and sourcing efficiencyExperience Required2–3 years of experiencein sourcing, production coordination, or fashion manufacturing.
