Project Manager – Regional M&A Project Lead Job Description Responsible for leading the regional program and project management services to facilitate integration process for business Integration Project Initiation and Procurement Responsible For: Working with stakeholders to understand key requirements, objectives and constraints. Lead site due diligence efforts of existing client sites with stakeholders to understand existing technologies being utilized, site conditions and constraints. Work with team members to develop procurement strategies for technology, design teams, construction teams, workplace applications and other tasks required to complete the integration process. Work with BlackRock Sourcing and Vendor Management (SVM) and local legal representation to develop procurement documentation with input from key stakeholders. Coordinate procurement and installation schedules with the stakeholders and arrange access with FM where required. Prepare technical and commercial analysis of vendor proposals where required and prepare a recommendation report for approval by BlackRock. Ensure all project team members and vendors have, and comply with, project invoicing requirements. Assist With: Procurement coordination, timelines, scopes of work, etc., with key stakeholders for direct purchases of technology systems, desktop equipment, furniture and other elements. Provide input to BlackRock on anticipated requirements for long-lead purchases and assist the project team with the preparation, analysis and award of these packages as requested. Provide input to procurement strategy based on local market intelligence and prepare bids for team procurement. Provide levelling analysis of vendor proposals and comparison against budgeted figures and selection criteria during team procurement phase for award recommendation. Project Management and Project Controls Responsible For: Work with stakeholders to develop an overall schedule for all aspects of the integration project, indicating all required milestones and sufficient detail to enable communication of intent and progress achieved. Update the schedule on a weekly basis on a project level and vendor level. Work with to prepare a integration project execution plan and maintain and update the plan as required through project completion. Work with stakeholders to develop a coordinated schedule of project and task focused meetings to disseminate key project information and address the completion of key tasks, globally and regionally. Distribute agendas, minutes and all documentation associated with these project and task focused meetings. Prepare and maintain a risk analysis of the integration work using a risk template or “RAID Log” developed with the team. Make recommendations on opportunities and risk mitigation actions. Maintain and update the risk registers through the integration process. Review services change requests from project team consultants, and where appropriate issue a recommendation to the PCG, who will issue a contract change order. Document the approved changes and update the cost report and change order log as appropriate. Maintain a log of project scope changes, identify impact on Integration Project Costs and the Project Schedule Lead the closeout of all required work tasks as they complete, update the project analysis report. Make a monthly assessment of progress achieved by all project parties and update the project report. Maintain a weekly report with project status, recent accomplishments, risks, milestone achievement, schedule, and cost variance forecast. Creation/ upkeep of migration schedules and liaison with global migration teams to keep accurate – using Management Studio tool & Excel Develop/ upkeep of migration tracking, forecasting & reporting process for senior management – using Management Studio tool & Excel Upkeep/ admin of our migration tracking tool (Management Studio) and future improvements (e.g. permissioning, working with vendor on new development requirements, liaising with project team to prioritise new requests) Assist with updates to programme communications templates and presentation decks Assist with Risks & Issues tracking in a project Kanban Board Run quarterly retrospectives with the global project team and assist with tracking recommended actions Facilitate updates to technical and project process documentation (i.e. internal project team process and procedures, training guides, how to guides for end users etc) Regular status reporting via Portfolio Management system (Smartsheets) Prepare and maintain the project team directory for vendors. Work with BLK stakeholders to establish project documentation protocols and communications channels for regular team communications as well as unique channels to facilitate fast-response, troubleshooting tasks. Project Administration Responsible For: Ensure all team members and vendors are made familiar with project processes, and existing landlord and other project documentation. Coordinate with all stakeholders including, at a minimum. BLK Integration Office Teams; IMO, PMO & others Aladdin Engineering Teams, Technology Infrastructure Engineering Teams BLK Information Security Enterprise Services Teams; Design & Construction, Facilities Management, Security, and others. Digital Workplace Teams Initiate and maintain existing site Landlord interaction and communications throughout the integration project. Initiate landlord design review and approval where required, and any other interface with base building systems or functional areas. Ensure Landlord and statutory approvals are obtained. Coordinate project completion with move-in and lease end restoration work required. Coordinate logistics requirements and execution teams support for all required systems and installations Coordinate procurement documentation with stakeholders, vendors, and all relevant team members and drive decisions and outputs in accordance with the project schedule. Coordinate and arrange to lead page turn review for final BlackRock stakeholder project approvals. Assist With: Assist with material and design selection as required. Attend stakeholder approval consultations with intent to finalize design development decisions and outputs in a timely manner in accordance to project schedule. Prepare furniture plan with selected architect for team distribution. Assist with and input into all statutory approvals applications and inspections as required for issue, attend meetings when directed. Close-Out Activities Responsible For: Coordinate development of the punch list (snagging list) with the design team. Maintain involvement until all issues are complete. Update project reports. Complete the project analysis report to capture completed project data. Receive Substantial Completion and Final Acceptance certification. Assist BlackRock with handover of the site to Facilities department, documenting project completion and handover in accordance with the required actions and schedule. Participate in a lessons’ learned workshop. Arrange for contractual closeout process. Coordinate receipt of all as-built packages, O&M manuals and record drawings.
