Job Summary: We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will be responsible for managing front desk operations, handling administrative tasks, and ensuring smooth office operations. This role requires excellent communication skills, multitasking abilities, and a proactive approach to problem-solving. Key Responsibilities: Receive, direct, and relay telephone messages and fax communications. Attend to all guests visiting the office and direct them to the appropriate individual or department. Maintain a clean and organized front desk area, ensuring it is free from clutter. Oversee the general common area, including meeting rooms, to ensure they are tidy and well-equipped. Provide clerical support and perform ad-hoc administrative duties as required. Maintain visitor, vendor, and customer visit registers. Sort and distribute daily incoming mail and courier packages. Manage shipment logistics, including coordinating local and international courier services. Supervise housekeeping activities to ensure a clean and professional office environment. Arrange appropriate courier services for both local and overseas shipments. Maintain an organized filing system and ensure proper documentation of correspondence. Coordinate administrative purchase documents for approval by the Admin Manager. Monitor office stationery inventory, anticipate supply needs, and process orders accordingly. Perform other duties as assigned by management. Qualifications & Skills: High school diploma or equivalent; additional certification in office administration is a plus. Proven experience as an administrative assistant, receptionist, or similar role. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent verbal and written communication skills. Strong organizational and time-management abilities. Ability to multitask and prioritize tasks effectively. Attention to detail and problem-solving skills. Professional and friendly demeanor. Work Environment: This role is primarily office-based and requires interaction with employees, vendors, and visitors.
