Job Overview: The candidate should preferably be from Hotel Management Background and should have pleasant demeanor and excellent verbal and written communication skills. With overall, 10-15 years’ experience in Soft Services in Facilities/ Property, the candidate should have at least 5 years’ experience in Property Management. He/she should be passionate about horticulture and should be able to advise and implement landscape enhancement projects across Hyderabad Parks, in addition to the core task of managing soft services for aVance. The role requires clear understanding of core values of CapitaLand and adherence in letter and spirit to the same. The role is on site for five days and may include working on weekends in case of emergencies and criticalities. Roles & Responsibilities: The Assistant Manager Soft Services is responsible for overseeing and managing the Soft Services functions for aVance Business Hub Hyderabad and will report to the Park Manager. This role ensures the efficient and effective management of all Soft Services including Housekeeping, Landscape operations, Pest control Services and F&B Operations. Key Responsibilities include and may not be limited to: - Property Management: Manage soft services to maintain high operational standards of the entire campus including common areas. Possess and demonstrate a safety mindset during execution of operations. Coordinate with clients and various departments to ensure seamless property operations and address any issues promptly. Manage vendor relationships and service contracts for property related services. Should be able to provide leadership to third party resources and minimise attrition and absenteeism through innovative leadership techniques. Oversee food court/ cafeteria services, ensuring quality and satisfaction. Interact with aggregator and ensure a high standard of food safety. Act as SME for Horticulture for Hyderabad including other parks. Take ownership of any issues not covered by MEP, Security or other services. Relationship Management: Build and maintain strong relationships with client FMs to understand their needs and ensure property services meet their expectations. Develop strong relationship with Client team to facilitate services where there’s dependency on them. Serve as the primary point of contact for escalations pertaining to soft services. Work in synchronization with MEP, Security and other staff. Develop a working relationship with Projects, Marketing, Contracts & Procurements and other departments. Represent the organization in the absence of the Park Manager. Budget and Financial Management: Develop and manage the soft services budget, ensuring cost-effective operations and adherence to financial targets. Monitor and control expenses related to soft services. Be budget conscious and always encourage cost optimization solutions. PO, PR and Invoice Process from inception of idea till execution and release of payment to vendor. Should have working knowledge of Excel and Power Point. Knowledge of SAP and Power BI would be an added advantage. Inventory Management: Ensure that there are no wastages by monitoring inventory levels and adjusting orders accordingly. Sustainability: Implement sustainable practices such as energy-saving initiatives, Water Conservation measures, Waste reduction etc. to reduce the environmental impact of property operations. Maintain documentation trail for the same. Be responsible for waste disposal including effective functioning of Organic Waste Converter. Organize and conduct plantation drive or other activities during occasions such as environment day etc. Compliance Management: Ensure compliance with relevant laws, regulations, and standards related to soft services. Conduct regular audits and assessments to identify any areas of non-compliance and develop and implement corrective actions as necessary. Stay up to date on changes to relevant regulations and standards and ensure that operations are adjusted accordingly. Managing service partner statutory compliance and update the compliance tool without delay. Customer Service and Communication: Communicate effectively with employees, management/Leaders, and external stakeholders regarding soft services. Drive the overall employee experience with innovative, proactive, quicker solutions to enhance their experience. Support other functions in conduct and organization of events. Space Planning and Utilization: Handover and takeover of the space as per requirement of management. Conduct regular space audits and adjust space allocations as necessary to meet changing business needs. Technology Management: Manage the implementation and maintenance of technology systems and tools related to property operations, such as robotic tools and equipment. Stay up to date on emerging technologies and identify opportunities to leverage them to improve operations Co-working space management: Provide end to end services for facility management including service partner operation, Pantry management and inventory management in co-ordination with Manager Co- Working Space. Affiliate Functions: Be responsible for smooth functioning of retail outlets, gymnasium, coffee shops, play court and any other amenity that may be developed in the future.
