Job Title : General Manager, Administration Location : Pathways World School, Off Sohna Road, Gurugram We are seeking an experienced General Manager – Administration to oversee all non-academic functions at Pathways World School, Gurugram. This senior most non-academic position is responsible for ensuring the seamless operation of the school’s administrative services, facilities as well as staff and student support systems. The incumbent will report to the School Director and collaborate closely with the senior management team to uphold the school’s mission and vision. The ideal candidate will have strong leadership skills, strategic thinking, and a proven track record in managing diverse administrative functions This is a residential role with on-campus family accommodation provided for the incumbent. Key Responsibilities and Key Result Areas (KRAs) : Administrative Leadership: Serve as the primary contact for all non-academic issues. Coordinate with staff and senior management to ensure excellent service delivery across all departments. Budgeting & Financial Management: Prepare and manage the budget for non-academic operations, verify purchases, and act as an authorized co-signatory for payments. Staff & Welfare: Oversee recruitment, welfare, discipline, and professional development of administrative and support staff. Implement performance management and organize training workshops. Estate & Accommodation Management: Oversee upkeep of entire estate including on-campus accommodation for staff and students, ensuring that the facilities are well-maintained and meet the needs of the school community. Ambiance and Atmosphere: Ensure a sophisticated ambiance across the campus, with attention to detail in both interiors and exteriors, maintaining high standards of aesthetics and creating a polished, upscale atmosphere. Housekeeping & Hygiene: Oversee housekeeping, laundry and sanitation services, maintaining high standards of cleanliness and hygiene throughout the school’s campus. Facility & Infrastructure Management: Oversee campus infrastructure upkeep and development, building maintenance, energy conservation, waste management, and sustainability initiatives. Procurements & Stores Management: Supervise the procurement process, from sourcing to inventory management, ensuring that materials and supplies are available as needed for school operations. Commercial Contracts & Negotiations: Negotiate, enter into and manage contracts for services and products used by the school, ensuring favorable terms and conditions. Security & Transport: Manage campus security operations, ensuring the safety of all students and staff. Oversee student transport, including fleet management, ensuring reliability and safety. Food Services & Nutrition: Supervise catering services, ensuring high-quality, nutritious meals for students and staff. Event Management: In collaboration with the academic teams, lead the planning, coordination, and execution of school events, ensuring smooth operations and enhancing community engagement. Community & Parental Relations: Develop and maintain strong relationships with the local community and parents, fostering positive interactions and resolving concerns. Government & Administrative Liaison: Serve as the liaison for governmental relations and represent the school in dealing with external agencies and officials. Crisis Management & Emergency Response: Prepare and implement crisis management plans, run regular mock drills, and ensure effective media interaction during emergencies. Coordinate response teams to manage any emergency situations promptly. Committee Leadership: Serve as a member and chair of various school committees, including the Child Safety Committee, ensuring that key initiatives and policies are upheld. Medical & Healthcare Services: Oversee medical care, ensuring emergency care protocols and healthcare services are in place for students and staff. Statutory & Legal Compliance: Handle legal matters and ensure all school operations comply with statutory regulations, including maintaining important records and documents. Travel & Logistics: Negotiate with vendors and manage travel arrangements for students and staff for trips, expeditions, and workshops. Qualifications & Experience: Education: A Bachelor’s or Master’s degree in Business Administration, Management, or a related field. Experience: 20-25 years experience including 8-10 years in senior administrative roles, ideally in a campus setting in education, IT or hospitality. Defense background would be a plus. Skills: Strong leadership, communication, crisis management, budgeting, and negotiation skills. Proficiency in managing events and working with diverse teams.
