Job Title : Admin Support Officer Organization : CECOEDECON Location : Jaipur, Rajasthan Application Deadline : January 26, 2025 Background CECOEDECON, with technical and financial support from UNFPA (United Nations Population Fund), is implementing the “SWABHIMAAN” project. This initiative focuses on advancing Sexual and Reproductive Health and Rights (SRHR) through a human rights-based, gender-transformative, and evidence-informed approach, particularly targeting marginalized and vulnerable young populations. Role Purpose The Admin Support Officer will serve as the focal point for coordination and administrative support in project implementation. This includes facilitating approvals, processes, and logistics, and ensuring compliance with organizational policies. The role also involves managing logistics for workshops, consultations, and events, as well as supporting financial audits and documentation. Key ResponsibilitiesA. Event Coordination Invite quotations from vendors, hotels, and organizations for events. Select vendors/hotels as per organizational policies. Complete necessary documentation, including approvals for events. Arrange logistics for state and district-level events. B. Procurement Support Coordinate with the program team to procure required materials. Invite and review quotations, ensuring compliance with policies. Prepare comparative statements and necessary procurement documents. C. Policy Compliance Manage supplies and maintain a database of purchased items. Provide administrative and financial support for staff and consultants. Develop Terms of Reference (TOR) for consultants/agencies and ensure compliance. Track submission of field visit reports and necessary approvals for claims. D. Administration & Reporting Assist with event setup and coordination during workshops and trainings. Support field training activities and travel as required. Maintain records for program-related documents, such as meeting minutes, sub-grants, compliance reports, and financial reports. E. Recruitment Support Assist in shortlisting candidates as per job specifications. Develop profiles of shortlisted candidates. Coordinate interviews with UNFPA and the program team. Facilitate onboarding and induction of selected candidates. Qualifications & Experience Education : /MBA/Postgraduate degree with at least 3 years of relevant experience in administration or accounts. Skills : Proficiency in MS Office (Excel and Word) and Zoom. Knowledge of Tally software. Strong organizational skills and problem-solving attitude. Excellent written and verbal communication skills.
